Executive Assistant PharmaPosition Summary:We are seeking a highly proactive, professional, and detail-oriented Executive Assistant to provide comprehensive administrative and operational support to the Pharma Canada Leadership Team. This individual will serve as a trusted partner to senior leaders, anticipating business needs, managing competing priorities, and ensuring the efficient coordination of executive activities in a dynamic and fast-paced setting. The successful candidate will demonstrate exceptional judgement, discretion, organisational skills, and the ability to work independently while maintaining the highest standards of confidentiality and professionalism.Key Responsibilities:Executive SupportProvide high-level administrative support to the Pharma Canada Leadership Team, ensuring seamless day-to-day operationsAnticipate leadership needs by proactively identifying requirements, resolving issues before they arise, and taking initiative to drive actions to completionMaintain a high degree of confidentiality, professionalism, discretion, and sound judgement when handling sensitive business informationCalendar, Meeting and Travel ManagementCoordinate complex calendars, meetings, events, and appointments across multiple stakeholders and time zonesSupport offshore administrative teams in managing executive calendars, scheduling meetings, and coordinating logisticsArrange domestic and international travel, including itineraries, accommodation, transportation, and related documentationCoordinate meeting materials, agendas, presentations, and follow-up actionsCommunication and Stakeholder CoordinationManage incoming enquiries, correspondence, and requests,
exercising discretion and determining appropriate escalation paths when requiredServe as a key liaison between internal and external stakeholders, ensuring timely and professional communicationCoordinate interactions, projects, and meetings between leadership team members, GSK colleagues, external partners, and third-party vendorsRespond to routine information requests on behalf of leaders while maintaining confidentiality and professionalismAdministrative and Operational ExcellenceSupport the preparation and distribution of reports, presentations, communications, invoices, spreadsheets, charts, and other business documentsMaintain organised electronic filing systems and documentation to support operational effectiveness and complianceMonitor project timelines, deliverables, and administrative activities to ensure deadlines are achieved and commitments are metKeep leadership team members informed of key updates, priorities, and the status of ongoing initiativesProject Coordination and PrioritisationIndependently manage assigned projects and administrative initiatives, ensuring required outcomes are delivered on time and to a high standardEffectively prioritise workload and adapt to shifting business priorities in a fast-paced environmentTrack action items and follow-up activities to ensure completion and accountabilityContinuous Improvement and Team CollaborationImplement process improvements that simplify administrative workflows and increase operational efficiencyShare best practices and innovative solutions with fellow Executive Assistants to enhance team effectiveness and consistencyProvide backup and overflow support to other Executive Assistants when required to ensure uninterrupted support across the businessQualifications and ExperienceRequired5+ years of executive administrative support experience, preferably supporting senior leadership teams in a corporate environmentProven ability to manage multiple priorities simultaneously while maintaining accuracy and attention to detailExceptional organisational, planning, and time-management skillsStrong written and verbal communication skillsDemonstrated ability to work independently with minimal supervisionHigh level of professionalism, integrity, discretion, and confidentialityPreferredExperience supporting leaders within the pharmaceutical, healthcare, life sciences, or highly regulated industriesExperience working within a global and matrixed organisationFamiliarity with budgeting, invoice management, and project coordination activitiesKey CompetenciesProactive and forward-thinking mindsetExceptional organisational skillsStrong stakeholder managementProfessional judgement and discretionAdaptability and flexibilityProject coordination and executionProblem-solving and critical thinkingCollaboration and teamworkContinuous improvement focusCustomer-service orientationReporting Relationship This role supports the Pharma Canada Leadership Team and works closely with senior leaders, offshore administrative resources, and key internal and external stakeholders to ensure efficient business operations and executive effectiveness.Location: CanadaFunction: Executive Administration / Business SupportEmployment Type: Full-Time
