We are seeking a detail-oriented and organized Payroll Coordinator to manage end-to-end payroll processing and employee advantages administration for our two Retirement Communities. This position can be located in either Regina or Saskatoon.
Payroll Administration
- Process full-cycle payroll (bi-weekly/semi-monthly) for all employees using Payworks payroll system (or similar)
- Calculate and process wages, overtime, vacation pay, statutory holiday pay, and termination pay in accordance with the Saskatchewan Employment Act
- Set up and maintain new hires, terminations, and employee changes within the payroll system
- Administer statutory deductions including CPP, EI, and federal/provincial income tax
- Reconcile and remit source deductions, WCB Saskatchewan premiums, and other statutory filings
- Prepare and issue Records of Employment (ROEs), T4s, and other year-end documentation
- Respond to employee payroll inquiries and resolve discrepancies in a timely manner
- Maintain accurate payroll records in compliance with employment standards and privacy legislation
- Recording of bi-weekly payroll expenses into the accounting system to ensure timely transactions for financial purposes is achieved.
Payroll Systems & Integration
- Support integration of payroll platforms with HRIS, time & attendance, accounting/ERP in Payworks (or similar platforms), and benefits systems to ensure seamless, accurate data flow
- Troubleshoot data mapping and sync issues between payroll and connected systems (general ledger, HRIS, time-tracking)
- Participate in payroll system upgrades, migrations, or implementations,
including testing and validation of integrated data
- Maintain data integrity across integrated platforms and recommend process improvements to reduce manual entry and errors
- Collaborate with IT, HRIS, and finance teams on system configuration and automation initiatives
Benefits Coordination
- Administer group perks programs (health, dental, life insurance, disability, RRSP/pension plans)
- Process enrollments, changes, and terminations for employee benefits plans
- Liaise with benefits providers/insurers to resolve claims issues and plan questions
- Reconcile monthly benefits invoices against enrollment records
- Support annual benefits renewal and open enrollment processes
- Educate employees on benefits offerings and assist with claims navigation
Compliance & Reporting
- Stay current on Saskatchewan employment standards, tax legislation, and payroll best practices
- Prepare payroll and benefits reports for management, finance, and audit purposes
- Support internal and external audits related to payroll and benefits
- Maintain confidentiality of sensitive employee financial and personal information
Other realated duties as required
Qualifications
- Post-secondary certificate/diploma in Payroll, Accounting,
Human Resources, or a related field
- PCP (Payroll Compliance Professional) certification through the National Payroll Institute required (or in progress)
- 2+ years of experience in payroll processing, ideally within a Saskatchewan or Canadian multi-jurisdiction environment
- Working knowledge of the Saskatchewan Employment Act, CRA regulations, and CPP/EI requirements
- Experience with payroll software (ADP Workforce Now, Payworks, Ceridian Dayforce, or similar) and MS Excel
- Demonstrated experience with payroll platform integrations — connecting payroll systems with HRIS, time & attendance, accounting/ERP software, and/or benefits administration platforms
- Understanding of API-based or file-based (CSV/EDI) data exchange between payroll and third-party systems is an asset
- Strong attention to detail and numerical accuracy
- Excellent organizational and time-management skills, with ability to meet strict deadlines
- Strong communication skills and a service-oriented approach to employee inquiries
- Ability to handle sensitive and confidential information with discretion
Assets
- Experience leading or supporting payroll system implementations or migrations
- Experience with benefits administration platforms and their integration with payroll
- Knowledge of unionized payroll environments
- Experience supporting multi-provincial payroll
Pay: $55,000.00-$65,000.00 per year
