About the Role
We are seeking a dependable and organized Legal Assistant or Law Clerk to join our Etobicoke office.
This is a general legal support position involving client communication, document preparation, file organization and administrative assistance across the firm’s residential real estate, wills and estates practices.
The successful candidate will assist the lawyers and existing team with selected administrative steps on residential real estate files. They will not be expected to independently manage real estate transactions from beginning to end.
A law clerk diploma or title is helpful but is not required. We are equally open to an experienced legal assistant with relevant law-office experience and some exposure to residential real estate matters.
Key Responsibilities
- Open, organize and maintain legal files
- Gather information and documentation from clients
- Prepare routine correspondence and legal documents using firm precedents
- Communicate professionally with clients by telephone and email
- Assist with selected administrative steps on residential purchase, sale, mortgage and refinance files
- Request, receive and organize documents relating to real estate transactions
- Track outstanding information, documents and deadlines
- Assist with closing and post-closing administrative tasks as directed
- Support the preparation of wills and powers of attorney
- Assist with estate applications, filings and related follow-up
- Maintain accurate electronic and physical files
- Enter and update information in the firm’s legal and accounting systems
- Answer incoming telephone calls and respond to routine inquiries
- Assist the lawyers and other team members with general office administration
- Identify and refer issues requiring a lawyer’s attention
What We Are Looking For
The ideal candidate will have:
- Previous experience working in a law firm or legal office
- Some experience or familiarity with residential real estate files
- Strong administrative, organizational and file-management skills
- Excellent attention to detail
- Clear and professional written and verbal English communication
- A warm, respectful and client-focused approach
- The ability to manage multiple tasks, files and deadlines
- Confidence communicating with clients by telephone and email
- The ability to follow established procedures and work from precedents
- Reliable attendance and punctuality
- The ability to work independently while recognizing when assistance is required
- An interest in joining a small firm for the long term
Additional Assets
The following would be helpful but are not required:
- A law clerk, legal assistant or paralegal diploma
- Experience with residential real estate transactions
- Experience in wills and estates
- Experience preparing wills, powers of attorney or estate applications
- Experience with LawyerDoneDeal
- Experience with PC Law
- Experience with Ontario land-registration or legal-document systems
- Previous experience working in a small law firm
Training can be provided on the firm’s systems and procedures.
Work Arrangement
This is a fully in office position at our Etobicoke office.
Regular working hours are Monday to Friday from 9:00 a.M. to 5:00 p.M. Candidates must be able to attend the office reliably and on time throughout the workweek.
Compensation
The salary range is $65,000–$80,000 per year, depending on the successful candidate’s experience, legal-office knowledge and ability to perform the responsibilities of the position.
