Our client, a well‑established consulting firm within the construction industry in Calgary, is hiring for an Accountant or Book keeper who can also work in a Project Administrator / Executive assistant capacity to help with both the accounting and book keeping in a small firm, as well perform a range of executive assistant tasks to help with the successful delivery of workflow in the firm. This firm has a good reputation and excellent design work and offer a collaborative work environment.
Role
- Book keeping of accounts payable, receivables, managing invoices
- Provide administrative support to senior staff
- Scheduling and coordination of meetings and events
- Coordinating municipal submissions and responses such as applications for Site Plan Approvals and Building Permits
- Reaching out to consultants, reviewing the quotes received for completeness, ensuring coordinating owner has signed off
- Produce Fee letters with support from senior staff
- Coordinating and booking meetings that are both internal and external with clients and consultants.
- Assisting with preparation of proper project documentation and completion of paperwork such as supplemental instructions, proposed changes, field review reports, certificates for payment and response letters
- Developing and updating project schedules in Microsoft Project or related program
- Check voicemails, complete phone calls as required
- Completing technical drawings in Revit when required
- Other related tasks as required
Qualifications
- 2+ years of experience working as a Book Keeper or Accountant
- Additional experience as a Project Administrator, Project Coordinator or a similar role for a firm within the construction, engineering or design industry
- A Post-Secondary Education (diploma or degree)
- Ability and aptitude for learning new software
- Excellent communication and organization skills
- Comfortable interacting with clients, contractors and consultants
- Dedicated to meeting deadlines, attention to detail
- Able to manage a number of tasks on multiple projects simultaneously
- Able to provide and receive feedback positively
