Position: Personal Executive Assistant

Location: Downtown Montreal – Onsite, 5 days per week

Salary: Up to $75K (based on experience)

We’re looking for a highly experienced Executive Assistant who thrives in a fast-paced, hands-on environment and enjoys working closely with business owners in a small, family office setting.

As the Personal Executive Assistant, you’ll be the trusted right hand to two business owners, supporting them with both personal and professional matters. This role is ideal for a seasoned, “old school” professional who values discretion, confidentiality, and precision in managing financial and administrative details. You’ll also collaborate with the corporate controller where personal and business needs overlap, managing a mix of financial record-keeping, expense management, and administrative support.

Responsibilities

- Ensure on-time bill payments and disbursements for both owners and the company
- Manage and process expense accounts, reconcile statements, and resolve discrepancies
- Handle online banking activities: bill payments,



deposits, wire transfers, monitoring balances
- Reconcile personal and corporate credit cards
- Maintain organized financial and administrative records, filing systems, and correspondence
- Provide support with bookkeeping tasks, research, and errands as needed
- Assist with miscellaneous administrative and personal tasks

Requirements

- Minimum 5 years of Executive Assistant experience
- Robust Microsoft Office Suite skills (especially Excel)
- Solid bookkeeping background (expense accounts, reconciliations, etc.)
- High level of discretion, professionalism, and ability to juggle multiple priorities
