Be the Warm, Steady Front Door of Our Practice
About This Role
We're looking for the in-person heart of our practice. Someone who makes every client feel welcomed, prepared, and taken care of from the moment they walk in.
This is a focused, part time, in office role. You won't be running billing, managing staff, or owning every operational system in the practice; we have systems and a remote admin team handling those. What you'll own is the piece that can only happen in person: the client experience, the front office, and day-to-day coordination that keeps clinicians and clients on track.

The Practice
We're a mission-driven mental health practice serving kids, teens, and adults through therapy and psychological assessments, with a team of clinicians providing evidence-based care.

What You'll Own: Client Experience & Front Office
- Greet every client warmly; ensure they feel prepared and at ease, especially during intake
- Manage the front office environment so that it feels clean, organized, welcoming
- Handle in-person client questions and hand off anything beyond your scope clearly and quickly
2. Scheduling & Clinician Coordination
- Keep clinician schedules conflict-free and coordinate day to day changes
- Make sure client files and intake paperwork are ready before sessions
- Be the timely link between clinicians and the front office
3. Administrative Support
- Answer phones and respond to walk-in needs during office hours
- Support file organization and HIPA-compliant recordkeeping
- Document management including scanning, filing, and organizing paper and electronic documents.
4. Inventory and Supplies
- Manage all supplies and inventory, order as needed
Schedule
Part-time: 15-25 hours per week, core daytime hours aligned to clinic scheduling needs (specific days/hours flexible based on the right candidate).
In office position: this role exists specifically because client facing presence can't be done remotely.
Compensation
$20–24/hour, based on experience (healthcare or client-facing admin experience preferred).
Growth Potential
This role is scoped intentionally right now for client experience, scheduling, and admin support, part-time. That's the job we're hiring for today.
That said, as our practice grows, we're open to this role evolving into more hours, and potentially more responsibility in areas like billing support or team coordination for the right person who demonstrates robust ownership and judgment in the current role first. There's no set timeline or promise attached to that; it depends on practice needs and how the role naturally develops. We wanted to be upfront that growth is possible, not guaranteed, so expectations are clear from day one.
