Heavy Equipment Service Coordinator

Location: Remote, Ontario
Job Type: Full-time
Schedule: Monday to Friday, typically 40-45 hours per week, with occasional overtime
Compensation: $24.00 to $30.00 per hour, based on experience

Overview

Knights of Repair is hiring a Heavy Equipment Service Coordinator to manage service requests from intake through job completion and invoicing readiness.

This is a fully remote role supporting mobile heavy-equipment technicians across the Greater Toronto Area and surrounding regions. The Service Coordinator is the central link between customers, technicians, parts, sales, and management.

Responsibilities

- Answer calls, emails, and service requests professionally
- Gather complete customer, equipment, job-site, and breakdown information
- Create and maintain accurate jobs in Jobber field service management software
- Coordinate technician scheduling, dispatch, and customer appointments
- Communicate approved estimates and obtain customer authorization
- Provide accurate job-status updates
- Coordinate with technicians and the Parts Coordinator
- Track parts, approvals, purchase orders, notes, photos, and documentation
- Prepare completed jobs for accurate and timely invoicing
- Follow company procedures for deposits, payment information, and collections
- Escalate technical, pricing, credit, scheduling, and customer issues appropriately
- Help improve service procedures, checklists, and documentation

Requirements

- Experience in service coordination, dispatch, service advising, automotive, trucking, fleet, heavy equipment, or industrial service




- Strong organization, follow-through, and attention to detail
- Professional verbal and written communication
- Ability to manage multiple active jobs and changing priorities
- Experience using Jobber or another field service management system
- Comfort using CRM, scheduling, email, and office software
- Ability to work independently in a remote environment
- Reliable high-speed internet and a quiet professional workspace
- Legally authorized to work in Canada

Preferred Experience

- Heavy-equipment, trucking, dealership, fleet, or rental-equipment experience
- Preparing estimates, repair orders, or work orders
- Coordinating mobile field technicians
- Handling purchase orders, deposits, invoicing, or collections
- Basic knowledge of diesel equipment, hydraulics, electrical systems, and parts

The Service Coordinator works within approved procedures and does not independently change pricing, offer credit terms, diagnose equipment, approve repair scope, or promise technician availability without confirmation.

This is a GTA-based role. Candidates must reside within the Greater Toronto Area and have strong practical knowledge of GTA geography, traffic patterns, industrial areas, and technician travel times.

- Are you comfortable enforcing procedures for customer authorization, deposits, purchase orders, documentation, and payment requirements, even when a customer or technician is pressuring you to bypass them?
- Are you comfortable handling inbound customer calls involving equipment breakdowns, scheduling delays, estimates, and payment questions?

Education:

- Secondary School (required)

Experience:
