Description of Position

Position Title Administrative Assistant

Department Human Resources

Report To Human Resources Generalist

General Job Description The Administrative Assistant provides comprehensive

administrative, operational, and organizational support to ensure

the productive day-to-day functioning of the office. This role requires

a highly organized, reliable, and professional individual who can

manage multiple priorities in a fast-paced corporate environment.

The position reports directly to the Office Manager and offers

growth opportunities with increased responsibility over time.

Essential Functions • Oversee daily office operations, ensuring a clean,

organized, and fully stocked workspace

- Coordinate meetings, calendars, conference rooms, and

catering arrangements

- Arrange and manage business travel, including booking

flights, accommodations, transportation, and preparing

itineraries

- Monitor and maintain inventory of office supplies,

equipment, furniture, kitchen items and vendor

relationships (e.g., cleaning, maintenance, delivery

services)

- Handle incoming/outgoing mail, packages, and courier

services

- Prepare and edit documents, reports, presentations, and

filing systems

- Support billing,



expense reporting, and basic

administrative/accounting tasks, including travel expense

and reconciliation

- Assist with employee onboarding/offboarding, internal events, and general employee support and communications

- Maintain internal directories, records, and office documentation

- Provide general administrative support to leadership and cross-functional teams

- Provide basic IT coordination/support and assist with workstation setup and technology tracking

- Ensure compliance with office procedures, health, and safety standards

- Manage multiple priorities, meet deadlines, and support special projects as assigned

- Coordinate service requests, work orders, and vendor access with building management

Knowledge, Skills, Abilities

- Proficiency in Microsoft Office (Outlook, Word, Excel) and general office systems

- Strong understanding of office administration procedures and best practices

- Excellent organizational and time management skills with the ability to prioritize tasks effectively

- Strong verbal and written communication skills

- Professional interpersonal skills with the ability to interact across all levels of the organization

- Ability to multitask and adapt in a fast-paced environment





- High attention to detail and accuracy in reporting and documentation

- Strong problem-solving skills with the ability to use sound judgment and initiative

- Ability to work independently and collaboratively within a team

- Basic knowledge of office equipment operations and troubleshooting

- Ability to handle confidential information with discretion and professionalism

- Adaptability and flexibility to respond to changing priorities and deadlines

- Customer service mindset with a proactive and solutions-oriented approach

- Basic understanding of administrative support for accounting, HR, and operations

- Familiarity with vendor coordination and office service management

Requirements

- Minimum 2 years’ relevant administration experience required

- High school diploma is required (Associate’s, or Bachelor’s degree preferred

- Intermediate proficiency in Outlook, Excel, and Word is required

- Professional demeanor and strong interpersonal skills

- Strong Organizational skill and attention to detail

- Excellent verbal and written communications skills in English

- Spanish language skills are a plus, but not required

- Ability to work independently with initiative and as part of a team

- Ability to perform daily tasks with minimal supervision
