Your Role as a Professional Administrator:
As part of our dedicated administration team, you will deliver 5-Star service to families while ensuring absolute accuracy, confidentiality, and adherence to provincial legislation and internal standards.
Your responsibilities include:
- Serving as one of the first points of contact for families, exercising discretion and empathy during highly sensitive interactions
- Responding to telephone and in-person inquiries with professionalism
- Receiving and accurately documenting “First Call” information in accordance with legal, regulatory, and organizational requirements
- Assisting in arranging the details of different cultures' death processes
- Ensuring the accuracy, completeness, statutory compliance, and proper filing of all required legal documents (Form 4s, Statements of Death, Death Certificates, Burial Permits, Registrations, and related records)
- Assisting with identifications, visitations, handling of personal effects, and other requests from families while maintaining strict chain-of-custody and documentation protocols
- Working professionally and respectfully in environments that involve close proximity to, and occasional physical contact with, decedents
- Coordinating with hospitals, care facilities, and the Medical Examiner’s Office to confirm and document transfers of decedents into our care
- Preparing obituaries and cost estimates for publication, ensuring 100% accuracy and adherence to submission standards and deadlines to newspapers
- Creating, reviewing, and maintaining detailed service files, planner notes, case notes, and financial contracts
- Managing multiple time-sensitive priorities while maintaining absolute attention to detail and accuracy under pressure
- Traveling across Calgary to work at various McInnis & Holloway locations as required
- Working a set schedule that includes every second weekend and some holidays
- Receiving and distributing mail/shipments, and processing outgoing items
- Completing general administrative duties such as ordering supplies, filing, copying, booking meeting rooms, and payment processing in alignment with established procedures and controls
What You Bring:
- 5-Star customer service mindset

- Strong administrative skills with proficiency in Microsoft Office and Google Suite
- Fast and accurate keyboarding skills
- Excellent verbal and written communication abilities
- Ability to multitask and pivot between competing priorities with ease
- High attention to detail, including strong proofreading skills
- Sensitivity and respect for diverse cultural practices
- Ability to work independently and collaboratively
- Clear and recent background check (Security Clearance)
