Job Description – Office Administrator

The Office Administrator provides administrative and project coordination support to ensure the smooth execution of residential renovation and construction projects. This role serves as a central point of communication between customers, subcontractors, suppliers, site supervisors, and the project management team, helping to keep projects organized, on schedule, and properly documented.

Key Responsibilities

- Serve as the primary administrative contact for customers throughout their projects.
- Coordinate communication between customers, subcontractors, suppliers, site supervisors, and the project management team.
- Schedule and coordinate project activities, including material selections, customer approvals, permits, inspections, and other project requirements.
- Maintain accurate project information, documentation, and records within the company's project management software.
- Track project progress and ensure information is current, organized, and communicated to the appropriate team members.
- Assist with invoicing, payment follow-ups, document management, and other project-related administrative tasks.
- Collect, organize, and maintain project documents, approvals, invoices, and correspondence.




- Support project managers with administrative and coordination tasks to help ensure projects are completed efficiently and on schedule.
- Provide excellent customer service by responding to inquiries professionally and in a timely manner.
- Perform other administrative and project coordination duties as assigned.

Qualifications

- Previous experience in an administrative, project coordination, or office support role is preferred.
- Solid organizational and time management skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office and project management software is an asset.
- Strong attention to detail, problem-solving skills, and the ability to work independently and collaboratively.

Work Environment

This position is primarily office-based with frequent communication between customers, subcontractors, suppliers, and site personnel. The Administrative Coordinator plays a key role in ensuring projects remain organized, on schedule, and well documented from start to finish.

Pay: $18.00-$23.00 per hour

Work Location: In person
