Accounts Payable Administrator

Location: Alberta

Employment Type: Full-Time, in Office

We're looking for an experienced Accounts Payable Administrator to join our growing team. If you thrive in a fast-paced environment, enjoy keeping things organized, and have experience in the construction industry, we'd love to hear from you.

This isn't your typical AP role. You'll be an integral part of the finance team, working closely with Project Managers, Project Coordinators, subcontractors, and suppliers to ensure payments are processed accurately, efficiently, and in accordance with Alberta construction legislation and contract requirements.

With approximately 500 invoices processed each month, this role is ideal for someone who enjoys staying busy, has exceptional attention to detail, and takes pride in keeping projects moving.

What You'll Be Doing

Accounts Payable

- Process a high volume of vendor and subcontractor invoices (approximately 500 per month).
- Review, code, verify, and enter invoices using Jonas Enterprise.
- Match invoices to purchase orders, contracts, and supporting documentation.
- Coordinate invoice approvals with project teams.
- Prepare weekly/bi-weekly payment runs and ensure payments are issued accurately and on schedule.
- Reconcile vendor statements and investigate discrepancies.
- Respond to payment inquiries from suppliers and subcontractors professionally and promptly.
- Maintain organized electronic records and supporting documentation.

Construction Accounting

- Administer subcontractor holdbacks in accordance with Alberta's Prompt Payment and Construction Lien legislation.




- Track holdback releases and ensure all contractual requirements are met before payment.
- Manage subcontractor payments subject to pay-when-paid contract provisions.
- Verify and maintain subcontractor compliance documentation, including:
- WCB clearance certificates
- Certificates of Insurance
- Statutory Declarations
- Other contract-required documentation
- Work closely with Project Managers to resolve invoice discrepancies and payment issues.
- Monitor subcontract payment schedules and project milestones.

Financial Support

- Assist with month-end and year-end accounting processes.
- Reconcile accounts payable records and vendor accounts.
- Ensure GST is processed accurately.
- Support audits by providing requested documentation.
- Help identify opportunities to improve AP processes and efficiencies.

What You'll Bring

- 1-3 years of full-cycle Accounts Payable experience.
- Previous experience in the construction industry is strongly preferred.
- Experience with Jonas Enterprise is considered an asset.
- Strong understanding of subcontractor billing, holdbacks, progress payments, and construction contracts.
- Experience managing high-volume invoice processing.
- Strong knowledge of Microsoft Office,



particularly Excel.
- Excellent organizational skills with exceptional attention to detail.
- Ability to prioritize competing deadlines in a fast-paced environment.
- Solid communication and relationship-building skills.
