Our client in Acheson, Albert is seeking an experienced and detail-oriented Payroll & Benefits Specialist to join their team. This role is responsible for the accurate and timely processing of weekly and biweekly payroll for approximately 500 to 700 employees, as well as the administration of employee benefits programs and payroll-related records.
The successful candidate will have strong full-cycle payroll experience, a solid understanding of payroll legislation and compliance requirements, and the ability to handle confidential information with a high degree of professionalism. PCP certification or pursuit of PCP is considered an asset, but is not required.
Payroll Administration
- Process full-cycle weekly and biweekly payroll for approximately 500 to 700 employees, ensuring payroll is completed accurately and on schedule
- Review, validate, and reconcile payroll data including hours worked, overtime, shift premiums, vacation pay, statutory holiday pay, bonuses, commissions, and other earnings
- Maintain payroll records and employee files, ensuring all information is current, accurate, and properly documented
- Process new hires, terminations, payroll changes, status changes, and final pay in accordance with company policy and applicable legislation
- Administer payroll deductions including income tax, CPP, EI, benefits premiums, pension or RRSP contributions, garnishments, and other voluntary or statutory deductions
- Investigate and resolve payroll discrepancies in a timely and professional manner
- Prepare and process records of employment, vacation payouts, and other payroll-related documentation
- Support payroll remittances and year-end activities, including T4 preparation, reconciliations, and audit support
- Respond to employee and manager inquiries regarding payroll, deductions, pay statements, and timekeeping issues
Benefits Administration
- Administer employee benefits programs including health, dental, vision, disability, life insurance, and retirement savings or pension plans
- Coordinate benefits enrollment, changes, terminations, and leave updates with external providers
- Reconcile monthly benefits invoices and ensure payroll deductions align with employee elections and plan requirements
- Serve as a point of contact for employee questions related to benefits eligibility, coverage, claims, and enrollment
- Maintain accurate and confidential benefits records
- Support benefits renewals, open enrollment activities, and employee communications related to plan updates
Compliance, Reporting, and Process Support
- Ensure payroll and benefits administration comply with applicable federal and provincial legislation, company policies, and internal controls
- Prepare regular payroll, benefits, and headcount reports for HR and Finance as required
- Assist with payroll account reconciliations, audits, and internal reporting requirements
- Identify opportunities to improve payroll workflows, reporting accuracy, and administrative processes
- Collaborate with HR, Finance, and external vendors to ensure efficient payroll and benefits service delivery
Qualifications
- 3+ years of experience in payroll and benefits administration
- Experience processing weekly and biweekly payroll in a medium- to large-sized organization
- Strong knowledge of Canadian payroll legislation, employment standards, and statutory deductions
- Experience administering group benefits programs
- Proficiency with payroll systems, HRIS platforms, and Microsoft Excel
- Strong attention to detail, accuracy, and organizational skills
- Ability to maintain confidentiality and handle sensitive employee information
- Strong communication and problem-solving skills
- Ability to manage deadlines and work independently in a rapid-paced environment
