Description: Reporting to a Senior Director or designated operational leader, the Administrative Assistant provides advanced administrative and operational support within a complex healthcare environment. Acting as the primary administrative resource for the portfolio, the position serves as a central point of contact and supports the effective coordination of communications, schedules, meetings, projects, financial processes, and organizational priorities.

Key responsibilities include managing complex calendars, coordinating meetings and special events, preparing agendas, minutes, reports, presentations, and correspondence, and tracking action items and project deliverables.

The Administrative

Assistant provides financial and analytical support through budget monitoring, expenditure reconciliation, report preparation, and maintenance of spreadsheets, dashboards, and other reporting tools. The role also supports accreditation activities,



quality improvement initiatives, records management processes, and portfolio-specific projects. Working with a high degree of independence, discretion, and professionalism, the incumbent manages confidential information, responds to inquiries from internal and external stakeholders, coordinates communications, and ensures administrative processes operate efficiently and effectively.

The position requires strong organizational and problem-solving skills, the ability to manage multiple competing priorities, and exceptional interpersonal and communication abilities. Success in this role is achieved through proactive support of operational leaders and a commitment to excellence in customer service, teamwork, and administrative practice.

Vehicle Requirement: Not Applicable Required Qualifications: Post-secondary certificate or diploma in Office Administration, Business Administration,



Health Administration, or a related field, or an equivalent combination of education and experience. Minimum five years of progressively responsible administrative support experience in a senior-level office environment. Advanced proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.

Demonstrated experience managing complex calendars, meetings, and executive schedules.

Experience preparing professional correspondence, reports, presentations, and meeting minutes. Strong organizational, time-management, and prioritization skills. Ability to maintain strict confidentiality and exercise sound judgment.

Additional Required Qualifications: Experience supporting healthcare operations, clinical programs, or executive leadership teams.

Experience coordinating projects, committees, accreditation activities, or quality improvement initiatives. Demonstrated financial administration skills, including budget monitoring, expense reconciliation, and report preparation.

Experience creating dashboards, spreadsheets, and performance reports. Strong problem-solving abilities and capacity to work independently in a fast-paced setting. Proven ability to build collaborative relationships with internal and external stakeholders.

Preferred Qualifications: Experience in an acute care, continuing care, ambulatory, rehabilitation, or community healthcare setting. Knowledge of privacy and information management legislation, including FOIP and HIA.

Experience supporting senior executives, directors, or operational leadership portfolios. Demonstrated experience coordinating large-scale events, retreats, or stakeholder engagement activities.
