Job Title: Administrative & Events Coordinator

Location: Winnipeg – hybrid (at program locations and remotely)

Salary: $45,000 - $50,000 per annum

Type: Full-time (37.5 hours/week); some evening and weekend work as required

Position Summary

Under managerial direction, the Administrative & Events Coordinator plays a central role in ensuring the smooth day-to-day operation of U-Turn Parkinson's. The position combines administrative support, member services, office coordination, and event administration to help deliver an exceptional experience for members, volunteers, donors, and community partners.

The successful candidate will be highly organized, personable, detail-oriented, and comfortable managing multiple priorities in a fast-paced nonprofit environment. This role requires excellent customer service skills, robust communication abilities, and a passion for supporting people living with Parkinson's.

Key Responsibilities

The incumbent’s responsibilities will include, but are not limited to:

Member Services & Administration Serve as the primary point of contact by answering telephone inquiries, greeting visitors, and responding to general inquiries. Manage the organization's [email protected] inbox by responding to inquiries or directing communications to the appropriate staff member. Register new members within organizational systems and provide basic technical support to members using registration and program platforms.

Provide information regarding programs, assessments, schedules, and services across all U-Turn Parkinson's locations. Coordinate member assessments and reassessments, including scheduling appointments, confirming bookings, preparing assessment spaces, tracking reassessment timelines, and maintaining assessment records. Process in-person and telephone donations accurately and in accordance with organizational procedures.

Maintain confidential member records while ensuring compliance with privacy and organizational policies.

Office Administration Maintain the organization's shared calendar, including staff leave, meetings,



organizational events, holidays, and facility closures. Assist with general office administration, filing, data entry, correspondence, document preparation, and record management. Coordinate office and program supplies, ensuring all program locations are stocked with printed materials, promotional resources, office supplies, refreshments and hospitality supplies, and merchandise inventory.

Support internal communications by providing weekly program and organizational updates for newsletters and member communications. Assist with maintaining organizational databases, inventories, and administrative records.

Events & Community Engagement Support the planning and delivery of fundraising, awareness, educational, and community events by:

Coordinating event logistics and timelines. Managing event registrations and participant communications. Coordinating volunteers before, during, and after events. Assisting with sponsor stewardship, donor recognition, and community partnerships.

Preparing event materials, signage, registration packages, promotional resources, and supplies. Coordinating event inventory and equipment. Providing on-site event support, including setup, registration, volunteer coordination, participant assistance, and teardown.

Supporting the delivery of signature fundraising events, awareness campaigns, and member engagement activities. Coordinating event communications and maintaining the organizational events calendar. Tracking event budgets, attendance, registrations, and evaluation metrics.

Preparing post-event reports and maintaining event documentation for future planning.





Member Engagement Assist in organizing member appreciation and community-building activities throughout the year.

Help create welcoming and engaging experiences for members, volunteers, and visitors.

Support initiatives that strengthen member participation and organizational community.

Performing other related duties as required.

Requirements

Qualifications & Experience

- Diploma or degree in Business Administration, Office Administration, Event Management, Communications, Nonprofit Management, or a related field is preferred. Equivalent education and experience will be considered.
- Minimum 2 – 3 years of administrative or office coordination experience.
- Experience coordinating events, volunteers, or community programs.
- Experience working in a nonprofit, healthcare, recreation, or community organization is considered an asset.
- Experience providing customer service to diverse populations.

o Valid Manitoba driver's license and access to reliable transportation for events is considered an asset.
