Position Overview: The Business Registry Coordinator is responsible for managing and administering the Town's business licensing, film permit operations, and Main Street Pedestrian Zone permits with accuracy and efficiency. This role serves as a key administrative and operational support function, handling the complete lifecycle of business license applications, renewals, and account management while ensuring compliance with all municipal requirements and departmental approvals. The Coordinator acts as a primary point of contact for both internal departments and external stakeholders, responding to inquiries and providing guidance on licensing and permitting processes.
Additionally, the position supports the Town's economic development initiatives by compiling statistics and maintaining public-facing information. This role requires strong organizational skills, attention to detail, and the ability to work both independently and collaboratively to maintain operational continuity and enhance municipal service delivery. Core Accountabilities:
Business License Administration Process business license applications and renewals with accuracy and timeliness, ensuring all required documentation and departmental approvals are obtained
Maintain comprehensive licensing records and databases, updating account information and managing the complete lifecycle from application to closure
Respond to inquiries from interest holders and internal departments regarding licensing requirements, procedures, and compliance status
Prepare and distribute licensing correspondence, notices, and renewal reminders to applicants and stakeholders Film Permit Operations Administer film permitting processes, coordinating applications with relevant municipal departments and ensuring compliance with Town requirements
Serve as the primary administrative contact for film production companies and industry professionals seeking permits
Track and document film permits, maintaining records for archival and reporting purposes Compliance and Records Management Ensure all business, MPSA, and film permit applications meet municipal licensing and regulatory requirements before approval
Maintain organized filing systems and document control procedures for licenses, permits, and related correspondence
Coordinate with internal departments to verify compliance and obtain necessary approvals for business operations Economic Development Support Compile licensing and business statistics to support economic development reporting and strategic planning initiatives
Maintain current, accurate public-facing information on municipal websites and information materials related to licensing and permits Administrative Operations Manage multiple priorities and deadlines while maintaining attention to detail and accuracy in all administrative tasks
Support departmental operations through scheduling, correspondence management, and data entry activities
Collaborate with colleagues to ensure operational continuity and enhanced service delivery to the community Health and Safety Fulfill worker responsibilities under the Town of Canmore Health & Safety Directive
Participate in the Town's health and safety program, following all safety legislation, policies, and procedures
Perform work safely and protect the health and safety of yourself and others

Required Post-secondary education in a related field, such as business administration, or equivalent of work experience in administrative or customer service-focused roles within municipal, government, or regulated industry setting
Demonstrated proficiency with database management systems and Microsoft Office applications
Strong organizational and time management skills with the ability to manage multiple priorities and meet deadlines
Excellent written and verbal communication skills for corresponding with interest holders and internal departments
Competence in records management, filing systems, and document control procedures
Ability to work independently and collaboratively, demonstrating reliability and strong attention to detail
Knowledge of municipal licensing, permitting, or compliance processes, or demonstrated ability to learn quickly Preferred/Asset Experience with business licensing, film permitting, or similar regulatory administration in a municipal or government context
Familiarity with Alberta’s Municipal Government Act, and business licensing requirements
Experience compiling statistical reports and creating public-facing information materials or website content
Knowledge of, or experience in supporting economic development initiatives
Proficiency with specialized government software systems, accounting or licensing management platforms
Experience in a public-facing role demonstrating exceptional customer service and interest holder relations skills Salary &
Benefits Hourly Rate- $35.85 to $39.35 per hour.
Compensation will be calculated based on the successful candidate’s related work experience/education and internal equity considerations.
