Description The Client Services Team in the Faculty of Kinesiology is currently seeking a Recurring Part-time Client Services Supervisor.

Our world-class facilities include Fitness Centres, tracks, the Racquet Centre, the Aquatic Centre, Gymnastic Centres, the Outdoor Centre, climbing and bouldering walls, the Olympic Oval, gymnasiums, change rooms, steam rooms, an outdoor fitness area, and outdoor tennis, pickleball, and basketball courts. Together, these resources create inclusive, high-quality experiences that strengthen wellbeing and foster meaningful connections across campus and throughout Calgary.

This position reports to the Student and Client Services Manager. This position requires flexibility in schedule. This will include weekday, evening, and weekend shifts. The Client Services desk is open weekdays from 8:00am-11:00pm and weekends from 8:00am-9:00pm. This position can work up to 35 hours per week. Overtime may be required on occasion. The candidate is member of the Local 52 of the AUPE.

Summary of Key Responsibilities (job functions include but are not limited to):

Customer Service

- Takes the lead role in maintaining a high level of customer service at Client Services.
- To effectively coordinate and supervise the workflow of customer service staff on a daily basis. This includes setting work priorities, allocating staff resources, and supervising the workflow of the customer service staff on a daily basis.
- Acts as the front-line authority who deals with customer complaints or exceptions to policies and procedures regarding equipment rentals or program registrations.
- Process program registrations, memberships, locker sales, equipment rentals, service/repair contracts, facility access control, as well as retail sales on the University computerized systems.
- Accurately assess fees, process payments, authorize credit card payments, balance daily deposits, process program & rental refunds and transfers.

Communication/Relationships
- Ensures that customer service staff training is accomplished in a consistent, timely, and thorough manner for all hourly paid staff. This includes working with Active Living coordinators to ensure that training materials are current and accurate.
- Ensures that information about problems and issues with equipment, memberships,



or programs is effectively communicated back to the program coordinators who are responsible for those areas.
- Deals effectively with customer questions and complaints.
- Leads as part of the hiring team for customer service staff.
- Suggests recommendations for review of policies or processes that will improve customer service. Technical and Office Administration.
- Ensures that the customer service area has the tools and resources required to function effectively. This includes telephones, Moneris machines, computer equipment, photocopier, forms, laundry supplies, and other office supplies.
- Assisting with general office duties such as filing and clerical support.
- Ensures outstanding accounts are balanced and all transactions are processed correctly.
- Assist with laundry duties, chemical inventory, and general maintenance of machines as necessary.
- Ensures lockers are maintained and inventoried on a consistent and regular basis.
- Labels and stores rental equipment, performs inventory counts and reports back.

Qualifications / Requirements:

- Grade 12 minimum education - An undergraduate degree in Kinesiology or a Recreation Administration program would be considered an asset.
- Must have demonstrated professional experience supervising a team of 5-10 staff at a front desk within the recreation industry for a minimum of six months.
- Six months of experience registering clients for programs, memberships, locker sales, and equipment rentals at a front desk is required.
- Demonstrated ability to develop and provide excellent customer service with strong communication skills.
- Must be available for evenings and weekend shifts.
- Demonstrated experience handling cash and payment transactions.
- Demonstrated professional experience in recruitment and selection processes.
- High comfort level in a web-based environment.
- Experience in conflict resolution considered an asset.
- Standard First Aid CPR-C is required.
