Boldera Architecture is a Toronto-based practice specializing in heritage conservation and adaptive reuse. Our portfolio includes courthouses, mills, schools, libraries, institutional buildings and significant residential properties across Ontario and beyond. Our approach is founded on the retention and reuse of original historic fabric.
Recent interventions are designed to be compatible and clearly distinguishable from the original building. We regard heritage as a cultural, environmental and financial asset rather than a constraint.
Position Summary: Boldera is seeking a Marketing & Proposals Coordinator to lead the preparation of the firm's proposals and qualifications submissions, and to manage the presentation of the practice across all published material. The position reports directly to the Principal.
This is the first dedicated role on the business side of the practice and carries responsibility for a function central to the firm's growth.
Key Responsibilities: Proposals and submissions Prepare qualifications packages, fee proposals and competition submissions, averaging approximately three per month. Establish and maintain a central library of project sheets, team curricula vitae, methodology narratives, project imagery and reference information. Manage the submission calendar and ensure all deadlines and compliance requirements are met.
Graphic design and document production Produce all externally issued material to a consistently high standard, including submissions, project sheets, reports, presentations and website content. Layout, typography and information design are central to this role,
as heritage arguments are communicated visually as well as in writing.
Marketing and communications Prepare awards submissions, conference and sponsorship materials, and social media content. Commission and manage architectural photography. Provide production support for speaking engagements and published writing.
Portfolio management Ensure each completed project is documented, photographed and written up on completion, and that the firm's portfolio remains current.
Opportunity tracking and reporting
Maintain the firm's opportunity pipeline, from initial identification through submission to outcome. Track conversion rates by project type, client sector and referral source, and report on them regularly. Record the reasons behind both successful and unsuccessful submissions so that future proposals are informed by evidence rather than assumption. Monitor the performance of the firm's published material and marketing activity, and advise on where effort is producing results.
Conference and event coordination
Manage the firm's participation in industry conferences and sector events, including sponsorship deliverables, branded materials, exhibition content, delegate logistics and team travel arrangements.
Prepare supporting material in advance and ensure that contacts and opportunities arising from each event are recorded and followed up.
Qualifications: Demonstrated proficiency in Adobe InDesign, Illustrator and Photoshop, supported by a portfolio evidencing strong layout, typography and information design.
Excellent written English, with the ability to communicate technical heritage subject matter persuasively to non-specialist audiences, including public committees and evaluation panels.
Proven ability to manage multiple concurrent deadlines in a submission-driven environment.
A demonstrated interest in historic buildings. A formal heritage background is not required.
The capacity to work independently within a remote team, bringing forward priorities and recommendations without direction.
Candidates from architecture, graphic design, communications or marketing backgrounds will all be considered. Relevant capability and judgement are weighted more heavily than any specific qualification.
Career Progression: The position is structured with a defined path from Marketing & Proposals Coordinator to Marketing Manager and subsequently to Head of Practice Development, with responsibility for a team as the function grows. Boldera is seeking a candidate with the ambition to grow into that responsibility over the long term.
Terms: Remote position
Daily team meetings and twice-weekly individual meetings with the Principal.
Compensation: Candidates are asked to state their expectations directly at the outset.
