Mental Health Care CoordinatorChild, Youth & Family Mental Health Clinic Location: Behaviour Matters – Toronto (Lawrence & Allen)

Position: Full time | Monday–Friday (occasional evenings/weekends as needed) Join a team that's changing the way families access mental health care.

Matters is a leading child, youth, and family mental health clinic dedicated to helping children, teens, families, educators, and professionals build the skills they need for lifelong success.

Our evidence-informed services support children and youth experiencing anxiety, emotional regulation challenges, ADHD, autism, behavioural concerns, learning differences, social challenges, and other mental health needs through individual therapy, group programs, parent coaching, school partnerships, and professional education. We're looking for an exceptional Care Coordinator who combines compassion with efficiency and thrives in a fast-paced environment. This is far more than an administration role - you will be the first impression of Behaviour Matters and play a critical role in helping families feel heard, supported, and connected to the right services.

What You'll Do As our Care Coordinator, you'll be the main point of contact, connecting families, clinicians, and programs.

Client

Experience

Welcome families by phone, email and in person with warmth and professionalism

Build trust and rapport with parents navigating challenging situations

Conduct intake calls and gather relevant clinical information

Help families understand our services and recommend appropriate therapy, coaching or programs

Match clients with the most appropriate therapist or service based on presenting concerns





Support families throughout their care journey and ensure an exceptional client experience Scheduling & Coordination

Manage clinician schedules and optimize appointment availability

Coordinate therapy and group intakes

Monitor cancellations and waitlists while maximizing clinic capacity

Support program registrations and therapist caseload management

Coordinate communication between families, clinicians and leadership Administration

Maintain accurate and confidential electronic client records and standards

Monitor inquiries and maintain prompt response times

Support clinic operations and administrative projects

Assist with delivering Social-Emotional Skills group programs if/when needed Client Retention & Quality

Help ensure every family receives an outstanding experience

Follow up with inquiries and current clients

Assist with client feedback and service recovery when concerns arise

Identify opportunities to improve clinic processes and client satisfaction Who We're Looking For We're looking for someone who naturally makes people feel cared for and understood while remaining highly organized and detail-oriented. You are:

Passionate about children's mental health

Preferred Qualifications

Education

Completion of a diploma or bachelor's degree in one of the following:

Child & Youth Care

Social Service Worker

Psychology

Social Work

Mental Health & Addictions

Behavioural Sciences

Human Services A related mental health field

Experience

Required

Minimum 1 years of reception, client service or administrative experience

Experience working in a mental health clinic, healthcare practice, counselling centre or social services organization

Experience coordinating appointments and managing multiple schedules

Strong customer service experience Strong assets include:

Experience supporting children, youth and families

Experience working with therapists or multidisciplinary clinical teams

Familiarity with mental health terminology

Experience with Jane App or similar electronic medical records

Understanding of privacy legislation (PHIPA)

Technical Skills Google Workspace

Electronic Health Records / Jane App

Scheduling software

Payment processing

Strong written communication
