Office Manager / Operations Coordinator

Location: Cambridge, Ontario

Job Type: Full-Time, Permanent

Schedule: Monday to Friday, Day Shift

About Space Age Shelving & Design

Space Age Shelving & Design has proudly served homeowners and builders throughout Waterloo Region and surrounding areas for nearly 40 years. We specialize in ClosetMaid wire shelving installations for residential builders as well as premium custom closet and storage solutions.

We are looking for a highly organized and detail-oriented Office Manager / Operations Coordinator to oversee the day-to-day operations of our wire shelving division. This role combines accounting, scheduling, customer service, and operational coordination, making it one of the most important positions within our company.

Position Summary The Office Manager is responsible for ensuring the daily operations of our wire shelving department run smoothly and efficiently. Working closely with builders, installers, suppliers, and management, this individual coordinates installation schedules, manages work orders, performs accounting duties, and ensures projects are completed accurately and on time.

This is an ideal position for someone who enjoys problem solving, thrives in a rapid-paced environment, and takes pride in keeping operations organized.

ResponsibilitiesAccounting & Administration

- Process accounts payable and accounts receivable
- Prepare invoices and builder billing
- Reconcile supplier invoices
- Maintain accurate financial records
- Process installer payroll and piece-work calculations
- Assist with month-end accounting functions
- Maintain employee and subcontractor documentation
- Manage office filing systems and electronic records

Scheduling & Operations
- Schedule daily installation routes for field installers
- Coordinate work with residential builders and site supervisors
- Manage installation calendars and scheduling changes
- Receive and process site measurements from installers
- Prepare work orders and installation packages




- Coordinate material preparation with warehouse staff
- Monitor job completion and resolve scheduling conflicts
- Prioritize work to meet builder deadlines
- Communicate schedule updates to installers throughout the day

Customer & Builder Relations
- Answer incoming phone calls and emails
- Provide exceptional customer service
- Communicate with builders regarding scheduling and deficiencies
- Coordinate warranty and service appointments
- Assist customers with general inquiries

General Office Management
- Order office supplies
- Assist management with reporting and administrative projects
- Develop and improve office procedures
- Maintain organized documentation and company records
- Support other departments as required

Qualifications
- Previous office management or operations coordination experience
- Experience with accounting and bookkeeping
- Strong understanding of Microsoft Office (Excel, Outlook, Word)
- Experience with accounting software such as QuickBooks is considered an asset
- Excellent organizational and time management skills
- Strong attention to detail
- Ability to prioritize multiple tasks in a fast-paced environment
- Excellent verbal and written communication skills
- Professional and positive attitude
- Ability to work independently while contributing to a team environment

Preferred Experience Experience in one or more of the following industries is considered an asset:
- Residential construction
- Home building
- Cabinetry or millwork
- Building materials
- Trades or construction scheduling
