Overview

We are seeking an energetic and detail-oriented Receptionist to join our agile team! The Receptionist welcomes students, prospective students, visitors and external stakeholders while providing professional front-desk service. The position also supports appointment scheduling, general communication and administrative tasks across campus departments to help maintain organized, efficient and student-focused operations.

Responsibilities

1. Front Desk and Appointment Scheduling

- Work collaboratively with the reception team to provide consistent front-desk coverage.
- Welcome students, visitors and external stakeholders professionally.
- Answer and redirect telephone calls and general email inquiries.
- Receive documents and direct inquiries to the appropriate staff member.
- Schedule, confirm, reschedule and cancel appointments.
- Learn and use all appointment-booking and scheduling systems.
- Work with the reception team to ensure coverage during breaks, absences and busy periods.
- Maintain an organized and professional reception area.

2. Enrollment Administration

- Support routine enrollment administration and communication.
- Contact prospective or incoming students regarding appointments and outstanding documents.
- Assist with appointment confirmations and routine follow-up calls.
- Receive completed enrollment documents and check that required sections are present.
- Create and organize files for newly enrolled students.

3. Central File and Document Management

- Maintain organized physical and electronic student files.
- Scan, upload, label and file documents accurately.
- Track missing,



incomplete or expired documents.
- Contact students to request outstanding forms, information or signatures.
- Receive documents from students and staff and place them in the appropriate records.
- Maintain document checklists and report outstanding items.
- Support file reviews, audits, accreditation activities and regulatory-documentation requirements.
- Protect the confidentiality and security of all College records.

4. Systems and Data Entry

- Learn and use the student management system, appointment-booking software and other approved College systems.
- Enter approved student information, grades, attendance, hours and administrative updates.
- Prepare draft enrollment letters, transcripts and routine documents for review.
- Update student records based on authorized information.
- Check entered information for accuracy and report errors or missing information.
- Generate routine lists, reports and administrative tracking documents.
- Maintain accurate records of completed and outstanding administrative work.

5. General Administrative Coverage

- Provide administrative coverage across the campus during staff absences or increased workloads.
- Assist with telephone calls, emails, scheduling, document preparation and follow-up.




- Support meetings, orientations, campus events and graduation activities.
- Assist with mail, scanning, photocopying, filing and office organization.
- Maintain an organized task list and communicate outstanding or overdue work.
- Assist student services, placement coordinator & admissions when required.

Qualifications

- Secondary-school diploma required.
- A post-secondary certificate or diploma in office administration, business, customer service or a related field is preferred.
- Previous administrative, reception or customer-service experience is considered an asset.
- Strong organizational, filing, data-entry and follow-up skills.
- Professional written and verbal communication abilities.
- Strong attention to detail and accuracy.
- Ability to manage multiple tasks and changing priorities.
- Ability and willingness to learn different software systems and administrative procedures.
- Proficiency with Microsoft Office.
- Ability to maintain confidentiality and handle student information appropriately.
- A professional, adaptable and team-oriented approach.

Additional Requirements

- Access to a reliable vehicle and possession of a valid driver’s licence for occasional external errands, events or meetings when required.
- Ability to attend occasional College activities outside regular working hours.
- Other administrative duties as assigned by CCHST management.

Pay: $45,000.00-$50,000.00 per year
