The Centre for Family Medicine FHT (CFFM FHT) is currently seeking a permanent full-time (28 - 36 hours per week) Medical Receptionist to join the CFFM Refugee Health Clinic (CFFM-RHC) and Other FHT Programming. The CFFM-RHC works closely with the Reception House to ensure that all government assisted refugees (GARs) who settle in Waterloo Region have their initial health care needs met. Through partnership with Reception House-Waterloo Region, we currently provide primary care to GARs for 18 months post-arrival and attach them with other family doctors in the area after they are medically stable.

The clinic runs, currently seeing patients four days a week. The Thursday clinic is primarily dedicated to patient intakes and intake follow-ups, with some ability to see clients for episodic visits. Monday, Wednesday, and Friday clinics are NP-led and designed to see patients for episodic care, well women and well baby care, health promotion and chronic disease management.

We also run some specialty clinics and may expand our primary care clinic to another day a week. This clinic is one of multiple FHT programs, and support to other programs on an as needed basis is part of working within our team.

Position Overview: This is a key position to support the medical team working with newcomer refugees to Canada. The role requires excellent communications skills and coordination of health care for refugees working along with the Reception House Waterloo Region staff and interpreters from the Kitchener-Waterloo Multicultural Center.

Primary Duties and Responsibilities: Organize and maintain paperwork flow and process





Scanning all medical reports, forms (after ensuring completion with appropriate consents, signatures) into EMR and messaging the appropriate provider(s)

Answer phones, emails from patients and case managers requests for appointments and book accordingly

Communicates with patients when required, using appropriate language lines and in person interpreters, or appointments we have referred for

Documents and maintains clear records in the EMR for all communication with patients, specialist offices and community partners

Manages messages within PSS to track appointments and referrals

Maintains updated patient demographics by obtaining, recording and revising personal information

Provide administrative support to the team as needed - faxing, mailing

Assists with discharge documentation and sharing

Ensures that interpretation is arranged, as needed and we are able.

Qualifications and Experience: Post secondary education - preferably related to health, an asset

Minimal 2 years’ experience in an administrative position in a healthcare organization - preferably primary care

EMR experience, preferably Practice Solutions





Excellent information technology skills including working knowledge of Windows and Microsoft Office 365 - Excel

Experience working with a patient/client database system for booking, billing, scheduling, and retrieving information.

Practice

Solutions experience preferred

Excellent communications (written, verbal, and interpersonal) skills (additional languages are an asset ie: Arabic, Dari, Farsi)

Ability to multitask, prioritize and manage time effectively, in order to optimize productivity and meet critical deadlines with specific attention to detail in a rapid-paced environment

Strong self-starter, able to effectively prioritize key tasks and deliverables with limited day-to-day direction, are a solution orientated thinker

Demonstrated ability to work collaboratively and take direction from health care professionals

Proven ability to keep confidential information regarding patients, health care providers, employees, business operations and team information

Comfort and experience working with non-English speaking populations, or through an interpreter.
