Our client, an established and highly regarded professional services firm is seeking a Project Accounting Lead to take full ownership of their project accounting and billing operations. Reporting to the Controller, this role bridges Finance, Operations, Project Managers, and Clients. You will supervise billing and AP staff, ensure accurate cost allocation and timely invoicing, monitor project KPIs, and streamline accounting systems to optimize profitability.
Duties & Responsibilities
- Supervise, mentor, and assign daily workflows for the Project Billing and Accounts Payable team.
- Train Project Managers and staff on timecards, project tracking tools, and billing processes.
- Transition newly awarded contracts into active projects, establishing accurate commercial terms across internal ERPs and third-party vendor portals.
- Review month-end invoices for accuracy, resolve material variances with Project Managers, and track billings through final client collection.
- Partner with the Controller to monitor billing KPIs, analyze project P&Ls;, perform actual-vs.-budget reviews, and assist with month-end revenue analysis.
- Code and enter invoices into the Sage ERP system with proper General Ledger and department allocations.
- Serve as a key liaison during annual financial audits by compiling required project revenue and backup documentation.
- Manage vendor and billing portal integrations,
continuously updating process documentation and evaluating BI or automated tools to improve real-time reporting.
Qualifications & Requirements
- Proven experience in full-cycle project accounting, progress billings, revenue recognition, and contract management.
- Strong understanding of double-entry accounting and how project transactions impact income statements, balance sheets, and cash flow.
- Hands-on experience with major ERP software, electronic invoicing portals (e.g., OpenInvoice, Textura, Fieldglass), and automated AP platforms.
- Solid analytical skills with the ability to interpret project data and communicate financial performance effectively to non-finance managers.
- Demonstrated leadership capability to coach staff, resolve billing challenges, and lead by example.
- Excellent verbal and written communication skills with strong commercial acumen.
- Post-secondary education in Accounting, Finance, or Business Administration is preferred (CPA or Project Management training is an asset).
