Location: Edmonton, Alberta

Position Summary

Reporting to the Area Manager, the Property Administrator plays a key role in supporting property operations, resident relations, inspections, maintenance coordination, and administrative functions across the portfolio. This position requires a highly organized and service-oriented professional who enjoys working in a fast-paced environment and delivering exceptional customer service.

Key Responsibilities

- Coordinate and conduct annual, renewal, and quarterly property inspections.
- Prepare inspection reports and document findings.
- Track and manage service requests to ensure timely completion.
- Maintain accurate property, resident, and operational records within Yardi and SharePoint.
- Monitor action trackers and follow up on outstanding tasks.
- Prepare letters, reports, and other property management documentation.
- Review contracts and monitor key dates, requirements, and obligations.
- Perform general administrative duties, including data entry and document management.
- Respond to resident inquiries and requests in a skilled and timely manner.
- Coordinate resident communications related to inspections, maintenance, move-ins, move-outs, and lease renewals.
- Coordinate maintenance schedules, inspections,



and service appointments.
- Monitor smart building systems and coordinate repairs with vendors as required.
- Assist with property improvement projects, including obtaining quotes and tracking project progress.
- Review security reports and coordinate follow-up actions when required.
- Monitor move-ins, move-outs, and lease renewals to ensure deadlines are met.
- Maintain accurate lease and occupancy records.

Qualifications

- Minimum 2 years of experience in property management, real estate administration, or a related administrative role.
- Post-secondary education in Business Administration, Property Management, Real Estate, or a related field is preferred.
- Experience with Yardi or similar property management software is strongly preferred.
- Proficiency with Microsoft 365, including Outlook, Word, Excel, Teams, and SharePoint.
- Strong organizational, time management, and multitasking skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and problem-solving abilities.
- Valid driver's licence and reliable transportation.
- Property management certification is considered an asset.
