Position Overview
The Account Manager is the client’s main point of contact. This role actively manages existing client relationships with our airline, cruise line, and hotel partners, focusing on the best interests of both our clients and API.
Essential Functions
Sourcing
- Oversee the direction of existing API accounts with the goal of maximizing prevailing relationships to expand market/wallet share versus preassigned revenue quota.
- Assist with the sourcing of destinations by initiating the RFP process and being sensitive to supplier relationships.
- Document RFP results in the customer destination presentation accurately and ensure the presentation meets client needs, demonstrates savings, and meets API revenue goals.
- Strategically plan and organize to maximize API revenue and client savings, including sourcing timelines for expiring contracts and contract renewal.
Site Inspections
- Conduct hotel site inspections domestically and internationally when required, ensuring each property meets client criteria.
Contracting
- Execute hotel contract negotiations on behalf of the airline, contract renewals, and addendums, negotiating mutually beneficial terms.
- Monitor market conditions in each serviced destination to maintain optimal rates, amenities, and contract terms.
- Conduct risk management for each destination to proactively address potential contract risks and negotiate terms that benefit the client.
- Continuously pursue and maintain the best hotel relationships where the client has contracted.
Day to Day Account Management
- Work closely with sales team members to ensure client needs are met and share leads discovered through communication with hotels and airlines.
CrewCare
- Manage crew member feedback via the online portal for all assigned accounts, addressing complaints in a timely fashion with hotel partners and documenting actions.
- Add new hotels to the system, ensuring data accuracy; delete inactive hotels.
Hotel Express
- Ensure negotiated rates for crew, business,
and leisure travel are properly loaded and maintained on Hotel Express for clients.
ACES
- Verify all hotel contract information is loaded correctly into ACES for OPS and accounting.
- Review ACES schedules monthly to ensure hotels download schedules and assist OPS with follow‑up.
- Verify client backup lists are accurate and loaded into ACES for OPS.
CRM
- Ensure all revenue opportunities are recorded in the CRM with accurate start dates.
- Ensure all hotel/airline and API commission contracts are loaded, executed, and attached to the CRM.
- Maintain all flight information.
- Understand client business and ensure all deliverables are met for a successful relationship.
- Provide new insights and recommendations that align with client business goals.
- Collaborate with Business Development to ensure smooth client transition from contract signing to implementation.
- Lead and make decisions that balance client and API needs.
- Manage all client communications, from weekly performance meetings to business reviews.
- Communicate internal client performance, strategies, and needs to cross‑functional teams.
- Become knowledgeable in all API technology platforms to align clients with appropriate solutions.

Position Type and Expected Hours of Work
This is a full‑time position. Days and hours of work are Monday through Friday, normal core business hours. Occasional evening and weekend work may be required as job duties demand.
Travel
This position requires travel up to 25%.
Required Education and Experience
- Minimum of 3 years of experience in the travel industry, working closely with hotels.
- Preferred Bachelor’s degree in business administration, sales and marketing, or related field.
- Ability to manage workload in a fast‑paced environment, using judgment to plan and accomplish goals.
- Attention to detail and ability to produce high‑quality work.
- Ability to positively present API in customer‑facing situations.
- Solid Microsoft Office skills, especially Excel.
- Exceptional verbal and written communication skills.
- Customer service and client‑relationship skills.
- Ability to work with and understand diverse cultures domestically and abroad.
- An organized self‑starter who can work proactively and independently.
- Multitasking and working well under strict deadlines in a fast‑paced environment.
- Flexible schedule and limited travel availability as needed.
Preferred Education and Experience
Bi‑lingual is a plus.
Compensation Range
The good faith salary compensation for this role based at the headquarters on Long Island is between $60,000 and $70,000 annually, commensurate with experience. Adjusted to CAD based on cost of living, geographical location, and internal equity. Plus an annual discretionary bonus.
Other Duties
Additional responsibilities may change at any time according to business needs, including duties related to Data Protection Champion (DPC), Senior Information Risk Owner (SIRO), or Information Assurance Accounting Officer (IAAO).
Work Environment
This position operates in a professional office environment, routinely using standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
Physical Demands
Regularly required to talk or hear, stand, walk, use hands to finger, handle, or feel, and reach with hands and arms.
