About the Role
We are currently hiring for two Administrative Assistant positions (Junior to Intermediate level) to support our team. These roles are ideal for highly adaptable, detail-oriented individuals who thrive in a fast-paced, deadline-driven setting. You will play a key role in supporting the flow of client work, managing shifting priorities, and ensuring accuracy across a variety of administrative processes.
Your Primary Responsibilities Will Include
- Providing daily reception coverage
- Compiling corporate files
- Compiling individual tax returns
- Compiling trust returns
- Compiling partnership returns
- Supporting workflow coordination and administrative processes across the team
- Maintaining and updating workflow tools (e.g., iFirm and internal trackers) to reflect real-time status of files and assignments
- Coordinating and tracking client deliverables across multiple engagements to ensure deadlines are met
- Proactively identifying and helping resolve workflow bottlenecks, escalating issues where appropriate
- Preparing and organizing documentation and materials for client deliverables and meetings
- Assisting with client correspondence and ensuring timely follow-up on outstanding information requests
- Drafting and sending out invoices to clients
- Following up on outstanding invoices
- Completing ad hoc administrative duties as required
Required Experience, Qualifications And Characteristics
- Completion of a Post-Secondary Degree or Diploma
- Minimum 1 year of administrative support experience, ideally in a professional services environment; experience working in a public practice accounting environment is an asset
- Strong attention to detail and accuracy in all aspects of work
- Highly organized with the ability to manage multiple deadlines, competing priorities, and workflow dependencies
- Proactive, forward-thinking, and resourceful with strong critical thinking and problem-solving skills
- Strong interpersonal and communication skills, with the ability to interact professionally and effectively with both clients and internal teams
- Self-starter with a strong sense of ownership and accountability
- Comfortable working in a fast-paced, energetic environment
- Experience using MS Office (Word, Excel, PowerPoint)
- Experience with CRM software (such as iFirm) and tools like CaseWare and SharePoint is an asset; a strong willingness to learn new systems is essential
- Team player, willing to support reception and collaborate across teams
- Tax return filing experience is an asset
- Able to work overtime when required
