This hybrid role blends property file administration with executive assistant duties.
Responsibilities Property & Records
Maintain and organize property-related files, ensuring accurate, timely filing
Track lease agreements, maintenance records, invoices, and vendor contracts
Keep digital and physical filing systems updated and audit-ready
Executive Support
Manage and triage email inbox, draft correspondence as needed
Maintain calendar, schedule meetings, and resolve conflicts
Prepare materials ahead of meetings and appointments
Personal & Household
Organize and file personal and family documents securely
Book and coordinate travel (flights, hotels, itineraries)
Handle personal errands and administrative tasks as needed
Manage sensitive/confidential information with discretion Qualifications
2+ years' experience as an administrative, executive, or personal assistant
Solid organizational skills and excellent attention to detail
Comfort managing both skilled and personal/household matters
Proficiency with email, calendar tools (Outlook/Google Workspace), and file management systems
Excellent written and verbal communication
High level of discretion and trustworthiness
Property management or real estate admin experience a plus
Valid driver's license and access to a reliable vehicle required Confidentiality This role involves access to sensitive personal, family, financial, and property information. Candidates will be required to sign a confidentiality/NDA agreement and maintain strict discretion at all times.
Compensation $25–$28/hour, based on experience.
