Within the context of a client and family‑centered care model and in accordance with the established vision and values of the organization, you will work as part of an interdisciplinary team to provide administrative and analytical program support. Responsibilities include coordinating the workflow of the assigned area, typing a variety of technical and non‑technical material, correspondence, reports and presentations using advanced word processing, spreadsheet and presentation software, assisting in data collection, compiling and maintaining a variety of statistical information for analysis and generating reports, answering telephone and greeting visitors, responding to general inquiries, screening, prioritizing and redirecting incoming and outgoing letter and electronic mail, maintaining calendars for team members, scheduling appointments and arranging meetings, attending meetings to take minutes, typing and distributing agendas and minutes, following up on action items, creating various weekly lists/schedules and maintaining timekeeping records for designated staff, and setting up and maintaining filing systems.
ABOUT BELLA BELLA, BC
Bella Bella is a beautiful island community off the central coast of British Columbia, 690 km north of Vancouver. It is surrounded by a magical world of channels, inlets and old growth forest. It is home to salmon, orcas, humpbacks, bald eagles and other denizens of the Pacific Northwest. The climate is mild and the area is a paradise for kayaking, sport fishing, hiking and photography.
The Heiltsuk Hospital in Bella Bella has 7 acute beds, 7 long‑term care beds and a 4‑bed emergency department open 24/7, along with laboratory and diagnostic imaging services. It offers telehealth services as well as specialty clinics. Heiltsuk Hospital also has an Intensive Case Management team for mental health and substance use. There is a medical clinic and a pharmacy located in the hospital. The healthcare team consists of physicians, RNs, LPNs, PCAs,
laboratory and radiology technologists, combined lab/x‑ray technologists, pharmacist, pharmacy assistants, and support services personnel.
Heiltsuk Hospital is located on the traditional territories of the Heiltsuk Nation. It is one of the only provincial hospitals located on a reserve in all of Canada. Education & Experience
Grade 12, graduation from a recognized secretarial program, plus three years’ recent related experience, or an equivalent combination of education, training and experience.
Knowledge & Abilities
Ability to type 45 words per minute.
Ability to communicate effectively both verbally and in writing.
Ability to deal with others effectively.
Ability to organize work.
Ability to operate related equipment.
Physical ability to carry out the duties of the position.
The hours of work including days off and work area may be subject to change consistent with operational requirements and the provision of the Collective Agreement and applicable statutes. Successful applicants may be required to complete a Criminal Records Review Check.
Please note that while there is a posting up in both Bella Bella and Bella Coola for this role, there is only one position available. However, the successful candidate may reside in either community and will be supporting two mental health and substance use teams. Occasional travel to the other community is required as part of the role. Travel will be arranged from the home community with eligible expenses reimbursed in accordance with VCH policy and applicable collective agreement(s).
All health care workers working in publicly‑funded health care facilities are required to report their past receipt of certain vaccines or history of certain infections. Collecting these records will allow for offering any missing vaccines and for appropriate actions to be taken in the event of future exposure to a communicable disease or during outbreaks. For all new hires and appointments to Vancouver Coastal Health, you will be asked to provide this information as part of the onboarding process.
