Your Responsibilities
Manage complex executive calendars, balancing competing priorities and making informed scheduling decisions independently.
Coordinate business travel from start to finish, including flights, accommodations, ground transportation, and detailed itineraries.
Prepare meeting agendas, briefing notes,
presentation materials, and follow‑up documentation with minimal direction.
Process expense reports and benefits submissions accurately and within established timelines.
Serve as a professional point of contact for internal and external stakeholders while maintaining the highest level of confidentiality.
Provide personal administrative support as required, including appointments, reservations, and special arrangements.
Collaborate with the administrative team by providing coverage during vacations and other absences, while remaining available outside core business hours when required.
Skills and Qualifications
4+ years of experience in an Executive Assistant or senior administrative role and supporting multiple executives simultaneously.
Exceptional written and verbal communication skills.
Robust judgment and problem‑solving abilities, with the confidence to navigate ambiguity and determine when to act independently or escalate.
Proficiency with Microsoft Outlook, Word, and Excel, with PowerPoint considered an asset.
Demonstrated ability to manage confidential and sensitive information with professionalism and discretion.
Strong organizational skills, meticulous attention to detail, and a proactive, solutions‑focused approach.
Post‑secondary education is preferred.
