Project Coordinator – Langley

This position contributes to the overall organization by assisting the Project Manager (PM) with project costing, safety and quality program implementation, scheduling, and budgeting. They will work with the relevant operations department to start‑up, execute, and close‑out Hall’s projects.
Responsibilities
Assist with preparation and execution of overall Execution/Work Plans and schedules.
Organize and maintain project site files and documents; manage electronic document databases and/or file sharing sites. Ensure that files are saved promptly and accurately.
Maintain up‑to‑date and accurate documents for the project, including drawings, plans, submittals, change orders, document logs, and purchase orders.
Track actual project quantities daily and provide monthly (or other) summaries for invoicing.
Review subcontractor/supplier progress applications and payment certificates.
Liaise with consulting engineers, subcontractors, and suppliers regarding the contract, change notices, design revisions, RFIs, RFQs, etc.
Prepare for and participate in meetings with the project team, architects, consultants, and subcontractors.
Prepare and distribute accurate/detailed meeting minutes in a timely manner.
Provide other technical office support as required by the project team.
Maintain project compliance to cost codes by reviewing productions and quantities on HCSS for accuracy and while sending Daily Quantity Reports to clients for unit rate projects.
Track change order implications per the Project Management Manual.
Assist the site supervisor with field staff administrative duties as required.
Routinely visit project sites and interact with site supervisor and site crews. Site visits should occur at minimum 1‑2 times per week, per project, depending on project requirements.
Support the project quality control program and/or the quality management system.
Assist in the implementation of the corporate Health & Safety Program.
Assist with final quality document turnover to the client at project completion.
Preferred Qualifications and Skills
Years of experience: 1 year minimum.
Education: Bachelor of Engineering Degree is preferable.
Designations: EIT working towards PEng designation, considered an asset.
Technical skills: proficiency in HCSS, MS Projects, Excel, Word, MS Teams, etc.; fluent in English; strong data analysis ability and interpreting cost reports.
Interpersonal skills: comfortable working in a team environment; problem‑solving ability; excellent written and verbal English communication; good listening skills; ability to prioritize workload and be responsive; attention to detail and proactive issue identification; comfortable with conflict or difficult conversations with clients and colleagues.
