NS Modular is growing, and we're on the lookout for a passionate, detail-driven Human Resources Coordinator , whose primary responsibility is ensuring organizational policies and processes are consistently followed and properly implemented, while handling all aspects of the employment relationship with the highest level of confidentiality and integrity. Reporting directly to the Human Resources Manager, the HR Coordinator plays a key role in the execution of daily HR support and administration necessary for the ongoing operation of the organization. What You’ll Be Doing
Facilitate the full cycle recruitment and onboarding processes, including partnering with hiring managers to ensure consistency
Complete job postings on company recruitment platforms, company website, and third-party job posting boards
Ensure all established corporate procedures and recruitment processes are consistently followed
Support the reinforcement of company culture and foster strategies to enhance employee retention
Assist with all HR related items including but not limited to:
Full-cycle recruitment, including completing applicant pre-screens, arrange interviews, facilitate interviews,
assist hiring manager with screening and selection processes
Inform applicants of position details, including working conditions, benefits, and job duties
Contact references and perform background checks on applicants
Liaise with HSE Department regarding pre-employment testing, safety orientations, and employee training requirements prior to start date
Prepare offer letters and employment contracts, with assistance of Management
Provide potential candidates with information about policies, job duties, working conditions, wages, opportunities for promotion/advancement, and employee benefit programs
Distribute employment offer upon approval from HR Manager
Provide new hire with necessary information to prepare for first day and hire-on paperwork
Conduct employee on-boarding and orientation process for all new hires
Group Benefit policy administration, including enrolment, changes, and terminations
Assist HR Manager with employee development, employee training and performance management, performance reviews, policy interpretation and implementation, and company continuous improvement initiatives when requested
Respond to internal and external HR related inquiries or requests; provide assistance and guidance where required
Create and revise job descriptions and job adverts
Create and revise corporate policies and procedures, and other HR related items, as requested
Manage employee files and create solutions for improvement and efficiencies
Participate and support in continuous improvement solutions for the department
Act as first point of contact for employee concerns
Manage and update HR database; maintain all tracking spreadsheets for each new hire, transfer, termination, or update of information
Manage end of employment items to ensure timely completion of all off-boarding related items (i.e., termination of benefits, final payroll submissions, and personnel file management)
Attend and provide company representation at human resources and industry conferences, as required
Attend and provide company representation at job fairs and other career-building events, as required
Participate in the implementation and maintenance of HRIS system
Provide administrative support for human resources department
Provide support and direction to other departments, when required
Maintain skilled ethics, integrity, and confidentiality in all situations
Maintain compliance with federal, provincial, and local employment laws and regulations, as well as company policies, practices, and procedures
Other duties as assigned
What You Bring To The Table
Possession of diploma, degree, or certificate in Human Resources from an accredited institution is preferred
Minimum 1-2 years of human resources related work experience in a similar industry is preferred
Strong working knowledge of provincial employment standards and regulations
Industry related experience would be considered an asset
Proficiency in Microsoft Office 365 applications (e.g., Word, Excel, Outlook) is required
Strong ability to communicate effectively in English, both verbally and in writing
Strong organizational skills with attention to detail
Strong problem identification and resolution skills
Ability to handle competing priorities simultaneously; work well under pressure with time-sensitive deadlines
Excellent interpersonal skills to handle employees at all levels in the organization, sometimes in difficult or stressful situations
Able to manage conflict and mediate difficult conversations
Maintain confidentiality, exercise judgement and discretion when dealing with employees and sensitive situations
Strong notetaking/minutes skills and synthesis of information
Possess a positive and professional attitude, set a high standard, and convey professionalism at all times
Any equivalent combination of training, education, and experience that provides the required skills, knowledge, and abilities will be considered
