Our Client Our client, a well‑established consulting firm within the construction industry in Calgary, is hiring for an Accountant or Book keeper who can also work in a Project Administrator / Executive assistant capacity to help with both the accounting and book keeping in a small firm, as well perform a range of executive assistant tasks to help with the successful delivery of workflow in the firm. This firm has a good reputation and excellent design work and offer a collaborative work environment.
Role Book keeping of accounts payable, receivables, managing invoices
Provide administrative support to senior staff
Scheduling and coordination of meetings and events
Coordinating municipal submissions and responses such as applications for Site Plan Approvals and Building Permits
Reaching out to consultants, reviewing the quotes received for completeness, ensuring coordinating owner has signed off
Produce Fee letters with support from senior staff
Coordinating and booking meetings that are both internal and external with clients and consultants.
Assisting with preparation of proper project documentation and completion of paperwork such as supplemental instructions, proposed changes, field review reports, certificates for payment and response letters
Developing and updating project schedules in Microsoft Project or related program
Check voicemails, complete phone calls as required
Completing technical drawings in Revit when required
Other related tasks as required
Qualifications 2+ years of experience working as a Book Keeper or Accountant
Additional experience as a Project Administrator, Project Coordinator or a similar role for a firm within the construction, engineering or design industry
A Post-Secondary Education (diploma or degree)
Ability and aptitude for learning current software
Excellent communication and organization skills
Comfortable interacting with clients, contractors and consultants
Dedicated to meeting deadlines, attention to detail
Able to manage a number of tasks on multiple projects simultaneously
Able to provide and receive feedback positively
