South Riverdale Community Health Centre is a non-profit, multi-service organization that provides primary healthcare, social and community outreach services with an emphasis on health promotion and disease prevention primarily to people of East Toronto. Our mission is to improve the lives of people that face barriers to physical, mental, spiritual and social well-being. We do so by meaningfully engaging our clients and communities, ensuring equitable access to primary health care and delivering quality care through a range of evidence informed programs, services and approaches. As a leader in community health, our locally and internationally recognized community services include cutting-edge primary health services, health promotion, harm reduction, environmental health, community food centre and population-based community programs for marginalized peoples. This position provides reception and clerical support to the staff and programs of South Riverdale Community Health Centre and is responsible for receiving Centre clients and guests. Duties include making appointments, monitoring clinician schedules and providing general administrative support to the members of the Clinical team using an electronic health record. Some evening and weekend work will be required, in addition to working onsite.
Responsibilities:
Provide reception services for clinicians including communicating with clients, answering incoming calls and directing calls accordingly
Respond to general enquires, acquiring services for clients (e.g. taxis, referrals to other agencies) and providing information to the public and other agencies regarding services
Screen clients’ calls; make appropriate appointments for clinical services
Arrange referrals with external services (e.g. x-rays, ECG’s, and prescription renewals) as directed
Provide intake and registration of recent clients following established protocols
Provide administrative support for intakes of clients receiving allied support services within the centre
Book appointments for all clinical patients using electronic health record
Respond to the administrative needs of the clinical staff by providing computer work, photocopying, faxing and filing tasks
Responsible for the opening and closing of the centre following procedures to ensure the security and safety of the building, staff, clients and guests
Open and distribute mail accordingly
Prepare new client charts, retrieve and file charts for clinicians
Work collectively to manage client waitlists for programs and services
Ensure client records and files are accurate and current
Update medical record system with appropriate information as needed
University, College and/or medical administrative education
Minimum 1 year of experience as a medical secretary or administrative assistant in a clinical or social service related environment preferred
Knowledge of community, the health sector including primary care and community health centres
Demonstrated experience working with populations who are marginalized, and may have experienced issues of substance use, homelessness, etc., and who may have difficulty accessing primary health care
A strong interest in issues affecting people who are homeless,
living with a mental illness or substance use, and complex health needs
Respect for diversity, equity, anti-racism and accessibility with the ability to work collaboratively and positively with others
Ability to work effectively independently and in a multi-disciplinary team environment
Proven ability to prioritize and multi-task with simultaneous attention to detail
Excellent interpersonal skills in dealing with the public
Ability to assist people in a mature, friendly and helpful manner
Excellent oral and written communication skills
Strong organizational skills
Ability to be flexible and a self-starter
Proficiency in the use of computer technology and various software applications in particular an electronic health record
Knowledge of a second language an asset
Police clearance documentation will be required for employment
- Proof of double COVID-19 vaccination status will be required for employment
This is a bargaining unit position with CUPE Local 5399.
