Compensation: $42,500 annually + mileage reimbursement
Expected Hours: 40–50 hours per week
Must have a reliable vehicle and valid driver’s license

Position Overview

CMG Toronto is seeking a highly organized, proactive, and customer-service-focused Maintenance Coordinator to join our growing team. The successful candidate will be responsible for overseeing day-to-day maintenance operations across our managed properties, coordinating vendors, scheduling inspections, managing tenant communications, and ensuring repairs are completed efficiently and professionally.

This role is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and has strong communication and organizational skills.

Key Responsibilities

Maintenance Coordination

- Receive and manage maintenance requests through phone, email, and online systems
- Assess and prioritize maintenance issues based on urgency
- Coordinate emergency,



urgent, and routine repairs
- Schedule vendors and contractors for maintenance appointments
- Create and manage work orders through company software systems
- Follow up with tenants, owners, and vendors regarding repair progress and completion
- Ensure maintenance issues are resolved professionally and in a timely manner

Vendor Management

- Coordinate with approved vendors and trades
- Obtain repair quotes and estimates
- Verify vendor insurance and qualifications
- Monitor vendor performance and quality of work
- Process invoices and communicate completed work to the Property Management team

Property Inspections & Unit Turnovers

- Conduct move-in and move-out inspections
- Coordinate lockbox installations and access arrangements
- Schedule and complete routine property inspections
- Upload inspection reports, notes, and photos accurately
- Coordinate unit preparation and turnover work between tenants
- Ensure units are ready for occupancy within required timelines

Communication & Administration

- Maintain accurate records of all maintenance activities and communications
- Communicate clearly and professionally with tenants, property owners, vendors, and internal team members
- Provide updates regarding repair timelines, delays, and scheduling
- Assist with recurring maintenance scheduling and preventative maintenance tasks
- Collaborate with leasing, property management, and administration teams to ensure smooth operations





Qualifications

- Previous experience in property management, maintenance coordination, administration, or a related field preferred
- Strong organizational and time management skills
- Excellent communication and customer service abilities
- Ability to prioritize tasks and manage multiple projects simultaneously
- Comfortable working in a fast-paced environment
- Strong attention to detail and problem-solving skills
- Experience working with contractors, trades, or vendors is considered an asset
- Basic knowledge of residential property maintenance is preferred
- Proficient with email, scheduling software, and Microsoft Office/Google Workspace
- Must have a reliable vehicle and valid driver’s license
