BRANCH ADMINISTRATOR

Leduc, Alberta | Full-Time, Permanent

TNT Crane & Rigging Canada Inc. has an immediate opening for a Branch Administrator at our Leduc, Alberta location. This is a cross-functional role supporting the daily operation of the branch across customer service, office administration, dispatch coordination, and sales support. We are looking for a highly organized, proactive, and detail-oriented individual who communicates well and thrives in a fast-paced, team-oriented environment.

Key Responsibilities

Customer Service & Reception

· Act as the first point of contact for visitors, clients, and vendors, ensuring a professional and welcoming experience.

· Answer, screen, and forward incoming calls, handling inquiries related to services, schedules, and operations.

· Respond to customer emails and calls, providing information and resolving concerns.

Job & Dispatch Coordination

· Coordinate with clients and internal teams to confirm job details, equipment requirements, and timelines.

· Update and maintain job status records, communicating any delays or changes to clients and internal teams.

· Support cash sale transactions by coordinating credit card pre-authorizations in accordance with company procedures.

Administration & Finance Support

· Provide general administrative support to the office, including data entry, document preparation, and filing.

· Coordinate and schedule internal and external meetings, including calendar management, virtual meeting setup (Teams / RingCentral), and distribution of notes and action items.

· Review and prepare operational documentation, including job tickets, payroll inputs, and time records,



to support accurate billing, payroll, and internal reporting.

· Assist with accounts payable and expense processing through invoice review, coding, and coordination with Accounting for approval.

· Maintain accurate and current customer and supplier records.

Sales Support

· Support the sales team through document preparation, rate and proposal support, CRM maintenance, and post-transaction follow-up, keeping sales information accurate and ready for operational execution.

· Conduct proactive outbound calls to support account development, quote follow-up, customer re-engagement, and prospect identification in alignment with the sales team.

Safety & Compliance

· Assist with safety, compliance, and documentation requirements, including onboarding records, training tracking, pre-qualifications, and certificates.

· Support additional administrative, sales, and operational initiatives as business needs evolve.

Qualifications

Required

· Previous experience in a customer-facing role, office administration, or sales support.

· Proficiency in Microsoft Office (Word, Excel, and Outlook).

· Excellent written and verbal communication skills.

· Strong organizational skills, with the ability to manage multiple tasks and competing priorities.





· Legally entitled to work in Canada.

Preferred

· Experience in the crane, heavy equipment, or trucking industry.

· Working knowledge of dispatch or scheduling in a logistics or service environment.

· Familiarity with CRM or sales software.

Working Conditions & Compensation

· Full-time, permanent position based at our Leduc, Alberta branch.

· Standard office hours, Monday to Friday, 8:00 a.m. to 4:30 p.m.
