We are seeking a highly motivated individual who is passionate about working with and mentoring youth to help them realize their full potential through community engagement and therapeutic music programming.

Overview:

The Community Partnerships & Program Support Worker plays a key role in connecting Beat Builders to the community and supporting the day-to-day flow of the program. This role focuses on outreach, referrals, intake coordination, and in-session support to ensure youth are consistently entering the program and sessions run in a structured, organized, and engaging way.

Program Goal:

Beat Builders is a 14-week program designed to support youth in building confidence, skills, and a sense of accomplishment through therapeutic support, mentorship, and music-based programming. The program focuses on strengthening mental health, emotional regulation, and engagement; while helping youth build skills they can carry forward beyond the program.

Purpose of the Position:

This role is responsible for community outreach, referral pipeline management, intake coordination, and overall program operations. The Community Partnerships & Program Support Worker ensures a steady flow of participants into the program, supports onboarding and preparation, and maintains organization across all program logistics and documentation, while also contributing to program delivery through a consistent in-session presence that supports a welcoming, structured, and well-managed environment.

Relationships

This role works closely with the Therapeutic Program Coordinator, Youth Workers, and Music Production Lead, while building and maintaining relationships with schools, community agencies, and youth-serving organizations, ensuring alignment between outreach, intake, and program delivery so there is consistency across all stages of the program.

Responsibilities

Community Partnerships & Outreach:

- Build and maintain relationships with referral partners, including schools, community agencies, and youth-serving organizations
- Conduct weekly outreach (emails, calls, meetings) to promote the program and maintain engagement




- Follow up with partners in a timely and intentional manner
- Ensure partners understand program criteria, referral process, and expected outcomes
- Use outreach materials to promote the program leading up to and during each cohort
- Continue outreach during the program to support new referrals and ongoing engagement
- Support the development of a steady and reliable referral pipeline

Referral Pipeline & Intake Coordination:

- Monitor and maintain a consistent flow of referrals into the program
- Track referral sources, frequency, and engagement levels
- Follow up with partners to sustain and increase referrals
- Identify gaps in referrals and communicate with program leadership
- Ensure all participant information is complete, accurate, and organized prior to program start
- Ensure all onboarding forms are completed, including privacy, confidentiality, and consent requirements

Program Presence & Youth Engagement (In-Session Role):

- Be present during program sessions (Tuesdays and Wednesdays, 4:00 PM – 9:30 PM)
- Build positive and consistent relationships with youth
- Support a welcoming, inclusive, and engaging environment
- Act as a consistent and approachable point of contact for participants
- Support coordination of program logistics including meals, transit, and materials
- Contribute to a structured and positive experience for youth during each session

Program Operations, Documentation & Tracking:

- Ensure completion of the Administrative Documentation checklist for every session
- Complete all required documentation at the end of each session as outlined
- Oversee pre and post session setup, ensuring the space is safe, functional, and ready for use




- Ensure all equipment is checked and in working order before and after sessions
- Track and maintain:
- Office Supply Lists
- Meal Plans
- Bus Ticket Distribution Lists
- Non-Perishable and Perishable Inventory
- Monitor supply usage and support timely replenishment
- Update inventory regularly and notify leadership when supplies are low
- Collect and submit all receipts (e.g., meals) on a monthly basis
- Ensure all documentation is completed, accurate, and uploaded to SharePoint
- Maintain organized and consistent program records

Strategic Support:

- Participate in team meetings and program check-ins
- Share updates on outreach, referrals, and program operations
- Support ongoing improvements to outreach, intake, and program coordination
- Other responsibilities as assigned

Knowledge, Skills and Abilities:

- Strong relationship-building and communication skills
- Robust organization and attention to detail
- Ability to manage multiple tasks and follow through consistently
- Comfortable engaging with youth in a program setting
- Ability to work independently and as part of a team
- Problem-solving and adaptability

Job Requirements:

· Post-secondary education or equivalent experience in a related field

· 1–2 years experience in community outreach, youth programs, or program support

· Experience building and maintaining community relationships

· Strong organizational and follow-through skills

· Police Record Check with vulnerable sector screening

· Flexible schedule required, including evening work

· Availability on Tuesdays and Wednesdays from 4:00 PM – 9:30 PM as core program hours

· Hybrid work environment (on-site program delivery, remote and in-office administrative work)

· Participation in team meetings and regular check-ins

Salary band:

$50,000 - $53,000 annually

Accountability:

- Reports to Coordinator of Beat Builders Program & Manager of Community Services

Pay: $50,000.00-$53,000.00 per year
