Join our dynamic Child & Adolescent Psychology Practice as an Administrative Assistant dedicated to creating a warm & welcoming environment for our young clients and their families. In this important role you will be the first point of contact, ensuring a smooth daily office flow while also supporting clinicians. Your energetic approach will help create a positive experience for everyone who walks through our doors, contributing to our mission of providing compassionate mental health care to children, teens and their families. This position offers an opportunity to develop your administrative skills within a specialized healthcare setting.
Responsibilities
- Greet clients and families warmly, providing them with front desk support and a positive check-in experience
- Manage phonecalls & email inquiries
- Maintain electronic medical records using Jane Practice Management Software, ensuring confidentiality and compliance with privacy regulations
- Schedule appointments for therapy and assessment intake and feedback sessions
- Book therapy sessions for several clinicians and manage cancellations or reschedule as needed
- Handle administrative tasks such as gathering insurance information, issuing invoices/receipts and processing payments
- Support clinical staff by preparing necessary documentation,
organizing files, and assisting with general office operations
Requirements
- Minimum 2-3 experience working in a medical or mental health office setting, preferably with children or adolescents
- Familiarity with electronic medical records & software programs such as Jane or Owl is highly desirable
- Knowledge of medical terms relevant to mental health practices
- Excellent organizational skills with the ability to manage multiple tasks simultaneously
- Proficiency in handling phone calls and providing exceptional client service at the front desk
- Prior administrative experience in healthcare or office environments demonstrating reliability and professionalism
