The Corporate Operations Analyst, utilizing excellent organizational skills, is responsible for creating a positive client experience for internal and external stakeholders. This role’s primary focus is on operations for Bellwether’s business, working effectively with the portfolio management team, the administration team, and multiple relationship manager/advisory offices.

What will you bring to the team?

Key Responsibilities

- Develop and foster relationships with SGGG.
- Coordinate payments for fund companies, NBIN, and SGGG.
- Set up and coordinate new fund issues with Portfolio Managers (PMs).
- Handle Fundserv setup, pooled fund reconciliation, and NAV oversight.
- Execute foreign exchange transactions on behalf of PMs.
- Liaise with SGGG for semi-annual distributions and financial statement production.
- Ensure financial statements are created and distributed to appropriate parties.
- Serve as the point person for fund audits in coordination with SGGG.
- Manage tax-related items, including slips and inquiries.
- Calculate fund operating fees and ensure all parties are paid.
- Pay fund-related invoices and capital calls.
- Prepare fund-related performance reports.

System Administration & Reporting (25%)

- Administer the portfolio management system (e.g., Harmony).
- Process Annual Return of Capital.
- Prepare and distribute the weekly pooled fund trade summary.
- Liaise with and respond to requests from clients, custodians, PMs, Advisors, and Relationship Managers.
- Conduct ongoing relationship management, including servicing daily ad-hoc client and PM requests.
- Handle other responsibilities as dictated by business needs in sales, client service, and administration.

Business Acquisitions (15%)

- Assist with the onboarding and conversion of acquired firms.
- Perform additional duties as required, with clear expectations established before assignment.

Other Duties (5%)

- Cross-train for business continuity purposes.
- Provide Cash Management backup and coverage, including:




- Daily cash management and recurring client payments.
- Cash Management for pooled funds.
- Assisting with monthly cash management to raise funds for management fees.
- Managing and meeting ad-hoc client redemption requests from advisor offices.
- Analyzing cash discrepancies using various sources.
- Trading money market securities to meet client cash needs.

Qualifications

- Education: University degree in Accounting, Finance, or Business Administration or related field.
- Experience: Minimum of 2+ years in portfolio operations or relevant financial services industry experience.
- Skills: Excel, Bloomberg, Harmony, NBIN, Fidelity, Raymond James, and electronic signature/document workflow platforms (e.g., DocuSign).
- Abilities: Strong analytical problem-solving skills; excellent stakeholder management and cross-departmental communication skills.
- Professional Certification: CSC required.
- Personal Characteristics: Self-motivated and detail-oriented.

Compensation and Working Conditions

- Salary Range (Base): This role offers a competitive annual base salary ranging from $65,000 to $75,000, depending on relevant qualifications and overall fit.
- Bonus & Benefits: Eligible for a discretionary performance bonus of up to 20% of base salary, plus a competitive group benefits program and employer-matched savings plan.
- First 3 to 6 months: In office in our Oakville office 5 days per week. Thereafter: Hybrid work model, with a minimum of 3 days per week in the office.
- Reporting Structure: Reports directly to the Manager, Operations.
- Hours: Standard business hours are observed, with the expectation of availability for occasional overtime as business needs dictate.
