Reporting to the Director of Operations, the Program Coordinator provides high-level administrative, operational, program coordination, and communications coordination support to the Director of Operations and the Director, Strategic Communications and Issues Management. This role supports two interconnected leadership portfolios by helping organize priorities, coordinate workflows, track deliverables, prepare documentation, support meetings, maintain records, and ensure timely follow-up on operational and communications-related activities.

This position functions as a central coordination point across operations, administration, internal processes, strategic communications, issues management, program activities, stakeholder engagement, reporting, and executive support. The Program Coordinator helps maintain effective information flow between senior leaders, managers, staff, partners, vendors, communities, and other stakeholders while exercising sound judgment, discretion, professionalism, tact, and strict confidentiality.

Candidates with roots to a northern First Nation community will be given preference.

The successful candidate will be responsible to:

- Provide high-level administrative, operational, program coordination, and communications coordination support to the Director of Operations and the Director, Strategic Communications and Issues Management.
- Manage, coordinate, and optimize calendars, meetings, appointments, deadlines, travel arrangements, itineraries, logistics, and follow-up activities for assigned leadership portfolios.
- Research, draft, edit, format, and coordinate briefing notes, reports, presentations, speaking notes, correspondence, meeting packages, agendas, minutes, action logs, decision records, and other leadership materials.
- Track operational and communications priorities, deliverables, workplans, deadlines, approvals, action items, project milestones, reporting requirements, and follow-up commitments to support timely completion.
- Serve as a coordination point between Directors, senior leaders, managers, staff, project leads, vendors, external partners, and community contacts to support workflow, information sharing, and operational alignment.
- Support operational planning and coordination by maintaining task lists, project trackers, document repositories, issue logs, contact lists, meeting records, program files, and other organized systems that support efficient portfolio management.
- Assist with monitoring and coordinating administrative, finance, human resources, information management, IT, communications, vendor, and project-related follow-up items connected to the Operations portfolio.
- Support communications coordination activities, including maintaining communications calendars, tracking communications requests, organizing approval processes, coordinating content development timelines, and supporting internal and external communications products.
- Own the established monthly internal reporting process, including collecting updates, preparing the monthly summary, and reporting information back to senior leadership.




- Work with the office of the CEO to maintain accurate Nation leadership and stakeholder information in the mailing list tool, including distribution lists for internal and external mailing lists.
- Serve as a point person for general inquiries related to communications or operational matters by receiving, tracking, coordinating responses, escalating as appropriate, and ensuring timely follow-up on assigned items.
- Coordinate meetings, workshops, events, briefings, teleconferences, video conferences, boardroom bookings, agendas, materials, attendance, minutes, and post-meeting follow-up for operational and communications-related activities.
- Support program coordination functions by organizing workplans, tracking deliverables, collecting updates, maintaining records, coordinating logistics, supporting outreach, and preparing status summaries for leadership review.
- Prepare and maintain accurate digital and physical records, files, logs, contact lists, shared folders, templates, briefing materials, meeting records, and confidential documents in accordance with KIM requirements.
- Respond to internal and external inquiries with professionalism, tact, diplomacy, and discretion, including screening, redirecting, escalating, or following up on requests as appropriate.
- Support stakeholder engagement by coordinating communications with First Nations partners, community contacts, funders, health‑system partners, government representatives, vendors, consultants, and other organizations.
- Coordinate travel, accommodation, meeting, event, and community engagement logistics for assigned operational and communications activities, including travel to northern or remote First Nation communities when required, and perform other related duties as assigned.

The successful candidate will possess the following qualifications:

- Diploma or certificate in business administration, office administration, communications, project coordination, public administration, health administration, or a related field, or an equivalent combination of education and related experience.
- Experience providing senior administrative, executive support, operations coordination, program coordination, project coordination, communications coordination, or similar support in a complex organizational environment.
- Robust organizational, time‑management, prioritization, planning, coordination, and follow‑through skills, with the ability to manage multiple competing priorities and deadlines.
- Demonstrated ability to draft, edit, proofread, format, organize, and coordinate professional documents, correspondence, reports, presentations, briefing materials, minutes, agendas, and communication products.
- Ability to support project and program coordination activities, including workplan tracking, milestone monitoring, meeting coordination, documentation, reporting, stakeholder follow‑up, and records management.
- Knowledge of communications coordination practices,



including content tracking, approval processes, communications calendars, stakeholder messaging, digital content support, and internal or external communications logistics.
- Ability to exercise discretion, sound judgment, confidentiality, diplomacy, tact, and professionalism when handling sensitive information and communicating with internal and external stakeholders.
- Strong interpersonal skills and the ability to build and maintain respectful working relationships with senior leaders, staff, First Nations partners, community contacts, funders, government representatives, vendors, consultants, and other stakeholders.
- Advanced proficiency with Microsoft 365 applications, including Word, Excel, PowerPoint, Outlook, Teams and SharePoint; experience with Adobe Pro, Zoom, digital filing systems, databases, project tracking tools, or content management systems is an asset.
- Strong attention to detail and accuracy in document preparation, scheduling, records management, data entry, reporting, financial tracking, and communications support.
- Ability to take initiative, anticipate needs, identify emerging issues, solve problems proactively, **escalate** matters appropriately, and work independently and collaboratively in a fast-paced environment.
- Knowledge of health systems, First Nations health transformation, non‑profit operations, governance, communications, program delivery, or public‑sector environments is considered an asset.
- Sensitivity and understanding of cultures, languages, strengths, issues, priorities, and opportunities relevant to northern and remote First Nations communities in Manitoba; the ability to speak one of the northern First Nations languages is considered an asset.

The following are considered conditions of employment:

- Satisfactory criminal record check, vulnerable sector search, child abuse registry check, and adult abuse registry check will be required.
- Successful completion of privacy, confidentiality, information management, and any other required organizational training will be required.
- Employee must be eligible to work in Canada.
- Must possess and maintain a valid Manitoba Class 5 driver’s license.
- Travel within Winnipeg, throughout Manitoba, and to northern or remote First Nation communities may be required, including travel by land, boat, and air. Occasional evening or weekend work may be required to support meetings, events, deadlines, travel, communications activities, issues management, or urgent organizational priorities.
