The Property Administrator will provide administrative, operational, and research support to the Founder's Office Executive in managing the Founder's real estate portfolio, transactions, and related business activities. This role requires a highly organized and proactive professional with hands-on real estate experience, strong analytical and research skills, and the ability to manage multiple priorities in a fast-paced environment.
The ideal candidate is technology-driven, AI-comfortable, and capable of leveraging digital tools to improve efficiency while maintaining the highest level of professionalism and confidentiality.
Key Responsibilities
- Provide day-to-day administrative support for the Founder's real estate operations.
- Coordinate property listings, purchases, sales, leases, and transaction documentation.
- Maintain organized records of contracts, agreements, property files, and legal documents.
- Track transaction timelines and ensure all milestones are completed on schedule.
- Coordinate with real estate agents, lawyers, lenders, inspectors, contractors, property managers, and other stakeholders.
Research & Market Analysis
- Conduct market research on residential and commercial real estate opportunities.
- Research comparable properties, market trends, rental rates, zoning information, and investment opportunities.
- Prepare reports and summaries to support strategic decision-making.
- Monitor real estate news, economic trends, and market developments.
Executive & Operational Support
- Assist the Founder's Office Executive in managing daily priorities and projects.
- Schedule meetings, property viewings, and appointments.
- Prepare presentations, reports, and executive summaries.
- Monitor action items and follow up with internal and external stakeholders.
- Support special projects related to real estate investments and portfolio management.
Communication & Client Coordination
- Manage inbound and outbound calls using Dialpad.
- Coordinate communications with clients, brokers, vendors, and partners.
- Maintain professional correspondence through email and other communication platforms.
- Ensure timely follow-up on inquiries and pending matters.
Data Management & Reporting
- Maintain accurate databases and property trackers using Google Sheets.
- Create and manage Pivot Tables, dashboards, and reports.
- Analyze property data and prepare weekly and monthly reporting.
- Ensure data integrity and accuracy across all tracking tools.
- Utilize AI tools (such as ChatGPT, Gemini, Copilot, Claude, or similar platforms) to improve productivity and streamline administrative tasks.
- Use AI for research, document drafting, data analysis, meeting summaries, and workflow automation.
- Identify opportunities to improve efficiency through technology and automation.
Qualifications
Education
- Bachelor's degree in Business Administration, Real Estate,
Property Management, Marketing, or a related field is preferred.
Experience
- Minimum 2–5 years of experience in the real estate industry.
- Strong understanding of the end-to-end real estate transaction process.
- Experience supporting executives or senior management is an advantage.
- Experience coordinating with multiple stakeholders throughout a real estate transaction.
Technical Skills
- Robust proficiency in Google Workspace, especially Google Sheets.
- Advanced knowledge of Pivot Tables, formulas, filtering, and reporting.
- Experience using Dialpad or similar VoIP communication platforms.
- Excellent internet research and market analysis skills.
- Comfortable using AI-powered productivity tools.
- Experience with CRM systems and real estate software is an asset.

Work Schedule
- Must be available to work Monday to Saturday, 9am to 5:30pm Vancouver timezone and flexible to work across different time zones as required. Candidate should also be available and willing to work on Sundays if needed.
