The Program Assistant is a key support position to help ensure program operations run smoothly and create a positive atmosphere that enhances a collaborative environment for staff and students. This role reports to the Academic Strategy Operations Manager/Administrative Team Lead and primarily provides administrative support to the Academic Chair and Associate Chairs throughout daily academic activities, ensuring effective operation of program administrative functions. The Program Assistant works closely with program instructors, technicians, student advising, the registrar’s office, and other cross‑campus support and service areas.

Key Responsibilities

- Prepare office correspondence and data reports using Microsoft Office Suite, electronic mail system, and/or program-specific software.
- Assist the Manufacturing Sciences and Industrial Automation & Design programs in coordinating and completing projects.
- Provide administrative support for standing program and school meetings.
- Manage and maintain program records (electronic and paper).
- Create, review, and revise program materials; prepare reports and documents as requested.
- Support student selection and enrolment management strategies using Campus Solutions.
- Assist with annual tasks for compliance requirements for program accreditation.
- Plan and organize school and program-specific events.
- Program/school responsibilities as assigned.
- General office administration and front desk duties including arranging office equipment servicing (e.g., scantrons, printers/photocopiers).

Advanced Microsoft Office Suite product knowledge is required.

- Team player: collaborate effectively with cross‑functional teams. Be an outward‑facing representative of our programs, fostering positive relationships with staff, students and stakeholders.

- Ability to lift up to 11 kg (25 lbs).

Qualifications

- Completion of Grade Twelve.
- Diploma in Business or Office Administration or other related discipline.
- Experience in an administrative role.
- Experience with PeopleSoft Student Administration (Campus Solutions) would be an asset.
- An equivalent combination of education and experience may be considered.

Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services (WES), International Qualifications Assessment Service (IQAS) or the Comparative Education Services (CES).

Classification

Administrative Support IV – This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement.

Remuneration

Salary range: $46,952.36 – $60,620.56. Comprehensive benefits package included.
