This is a full time, in-office position based in North York, Ontario. We are seeking an experienced Sales & Marketing Coordinator with previous recent home industry experience, either with a residential builder or a marketing/advertising agency serving new home builders. Applicants without relevant industry experience will not be considered.
RESPONSIBILITIES
Marketing and Advertising
- Liaise with the company’s creative and advertising agency to coordinate the development and production of marketing materials, including advertisements, email campaigns, direct mail, website content, floor plans, renderings, sales office signage, and other collateral. Provide project information and content, track timelines, circulate proofs, consolidate feedback, and coordinate revisions and approvals to keep projects on schedule.
- Review advertisements, email campaigns, web updates, floor plans, campaign materials, and sales documents for spelling, grammar, accuracy, and consistency.
- Maintain website content and coordinate updates with relevant service providers; review social media calendars and posts to ensure they reflect current company and project messaging.
- Coordinate floor plans and renderings with external providers and internal construction teams, ensuring comments and required revisions are incorporated.
- Assist with media plans for new openings and analyze the results of advertising and marketing campaigns, including promotions, digital advertising, and Google Analytics.
- Maintain the Sales and Marketing library and monitor competitors’ pricing, advertising, marketing materials, and other relevant market activity.
Sales Launches and Office Operations
- Coordinate preparations for new sales office openings using the opening checklist, ensuring the office, supplies, agreements of purchase and sale, price lists, bonus sheets, deal files,
and other required materials are ready.
- Ensure sales offices and sales staff have current price lists, amendments, bonus sheets, forms, and supplies, and distribute revised materials promptly when changes occur.
- Coordinate landscaping, snow removal, cleaning, and other sales office services.
- Distribute weekly sales office and model home maintenance reports to the appropriate teams and follow up until required work is completed.
- Liaise with Development and Site Coordinators to ensure required permits for site signage are in order.
Deal Processing, Reporting, and Sales Administration
- Review Agreements of Purchase & Sale deals received from sales staff, complete offer submission forms and checklists, verify that documentation is complete and accurate, and distribute for review and approval.
- Process accepted deals by entering them into company systems, distributing documentation to the appropriate lawyer, construction, and design teams, and creating and maintaining lot files.
- Ensure purchaser cheques and payments are promptly delivered to Accounting, and coordinate commission payment documentation and mailings as required.
- Maintain priority registration programs and purchaser and prospect databases, complete data entry, and ensure records remain accurate and current.
- Enter sales and traffic information into company systems and prepare and distribute weekly and monthly sales and traffic reports, as well as monthly purchaser and prospect source reports.
- Provide sales staff with current sales documentation and materials as required.
Purchaser, Customer Care, and Administrative Support
- Respond to purchaser calls, emails, and general inquiries, including grading deposit refund requests and follow-up regarding NSF cheques or unsuccessful credit card payments.
- Prepare, review, update, file, and distribute company correspondence, amendments, letters, and supporting documentation, and assist with requests from lawyers and internal departments.
- Provide interim Customer Care coverage during absences, responding to purchaser matters and coordinating required follow-up.
- Issue purchase orders; process invoices, coding slips, and cheque requisitions; and maintain related administrative and payment tracking.
- Assist with the planning and organization of purchaser events, holiday parties, new openings, and other Sales and Marketing initiatives.
Requirements
- Previous new home industry experience is required, either directly with a builder or with an advertising agency supporting new home builder clients.
- Post-secondary education in marketing, business administration, communications, or a related field, or an equivalent combination of education and experience.
- Able to work independently, take initiative, and manage tasks with minimal supervision.
- Comfortable working in a fast-paced, deadline-driven environment while managing multiple priorities.
- Excellent organizational and time management skills.
- Strong attention to detail, with excellent written communication and proofreading skills.
- Comfort with software and technology, including strong working knowledge of Microsoft Office; experience with Google Analytics and related platforms considered an asset.
