Role Description

The Senior Project Manager is a full-time, on-site role based in Vancouver, BC, responsible for overseeing complex event and tradeshow projects from initial concept through to completion. This role manages project timelines, budgets, and resource allocation, coordinating closely with internal teams, vendors, and clients to ensure seamless delivery of event and display solutions. Day-to-day tasks include developing project plans, monitoring progress, addressing issues, and ensuring that logistics, equipment, and staffing are aligned with client expectations and safety standards. The Senior Project Manager acts as a mentor to junior team members, providing coaching on event delivery and oversees all phases of event delivery and on-site execution, dismantle, post-event reconciliation, and client follow-up. This position requires strong leadership, operational expertise,



and the ability to manage multiple moving components in a fast-paced environment.

Client & Pre-Event Management

- Work closely alongside the Account Manager to ensure the efficient and cost-effective delivery of each event.
- React to client needs and recommend appropriate service and product solutions.
- Organize and maintain comprehensive show files and documentation.
- Create detailed show binders, including client information, site details, equipment pull sheets, and floorplans
- Take a leading role in the prep of all equipment required for a show.

Event Planning & Logistics

- Responsible for scheduling crew for each event, referencing show-specific cost analysis reports to ensure projects stay on budget
- Coordinate cross-rentals with external suppliers and communicate requirements with Warehouse Supervisors
- Monitor event budgets and manage profitability through effective cost control practices.
- Record client-driven changes and ensure accurate billing adjustments through clear communication to the Account Manager.

On-Site Execution

- Lead and supervise event crews during warehouse preparation and on-site execution.
- Monitor setup and teardown to ensure safety, efficiency, and adherence to timelines.
- Oversee work quality and ensure company standards are met.




- Manage crew hours and productivity.
- Serve as the primary point of contact for clients and team members and resolve operational challenges in real time.
- Supervise dismantle, ensuring all equipment is properly packed, loaded, and accounted for.
- Ensure trucks are packed safely and efficiently.
- Assign duties to Tradeshow Technicians and monitor performance.
- Provide feedback on technician performance to the COO.
- Provide focused technical training to team members.
- Foster a positive, solution-oriented work environment.

Qualifications & Requirements

- Minimum 3+ years of event management experience, preferably in tradeshows, exhibitions, banquets, or live event production.
- Strong understanding of warehouse operations and logistics coordination.
- Valid BC Driver's License required.
- Comfortable driving cube vans and 1-ton, 3-ton, or 5-ton trucks.
- Forklift certification or experience preferred.
- Exceptional organizational skills with strong attention to detail.
- Robust communication, analytical, and critical thinking abilities.
- Proven leadership skills with the ability to manage multiple projects simultaneously.
- Ability to perform effectively under pressure and solve problems independently.
- Flexible to work extended hours, weekends, and holidays as required by event schedules.
- Excellent written, verbal, and interpersonal communication skills.
- Ability to be on your feet for extended periods during on-site show execution.
- Must be able to travel out of town to assist on national events as required
