Scope of Position The CSSO works with account management staff and the leadership team to provide effective service & fulfillment for Alternas Commercial and SME/Community portfolio members.
The CSSO provides support in transaction and portfolio administrative matters to the account management staff.
Major Responsibilities Respond to inquiries from clients/members.
Apply problem solving skills in solving issues and to meet service standards.
Bring issues forward for improvement in service to customers and efficiencies in processes.
Organize, schedule and monitor activities to ensure a smooth workflow that promotes efficient member/client service, retention and problem resolution.
Loan disbursements of conventional & CMHC-insured mortgage loans, and construction/ progress draws.
Instruct solicitor or FCT and external property insurance consultant.
Review loan files to identify any special conditions as per the commitment letter and if applicable, per CMHCs special conditions.
Responsible for ensuring that all supporting documents and pre-funding conditions have been received and satisfied prior to advancing funds.
Set up of all loan details onto Wealthview banking system from various sources, including commitment letter, CMHC special conditions, legal documents etc.
Calculation of interest adjustments, holdbacks, etc.
Posting of all loan disbursements, renewals and annual/interim credit reviews onto Wealthview banking system, ensures all advances balance and the reconciliation of any discrepancies.
Completion and final review of assigned files post funding,
preparation of client welcome letter.
Obtain and review legal final document package as per mortgage Commitment and update system.
Ensure that our new membership and related credit approval and funding process adhere to legal/regulatory and AML requirements.
Provide statements for assumptions and discharges from mortgage system Review and analyze annual insurance requirements.
Prepare discharge documents and other related security documents for signature.
Perform changes to loans and update Wealthview system appropriately.
Accountable to monitor and ensure follow-up action on upcoming and expired Insurance Policies and PPSA maturities in a support capacity to the account management team.
Manage the relationship with Banking Operations, Treasury, Wires, and Accounting/Finance departments to ensure a seamless Service & Fulfillment experience for members.
Accountable to monitor and ensure appropriate follow-up action on delinquencies and unauthorized overdrafts for the respective account management team.
Ensure all daily, weekly, monthly reporting is completed accurately and within committed time frames.
Liase with DICO, Internal and External Auditors Manage and maintain all filing systems.
Credit Log Updates Contact (annually) our approved solicitors for their excess skilled liability insurance polices Perform administrative functions such as placing supply order, calendar input, booking of facilities, etc. as needed Complete special projects as assigned by management Qualifications Post-secondary education and/or equivalent work experience preferred 3+ years in a financial services capacity is preferred Advanced MS Office skills with emphasis on Word and Excel Strong communication skills, written and verbal including confident and assertive telephone manner Demonstrated ability to work independently and in a team environment Proven organizational skills and demonstrated ability to prioritize and multi-task Strong analytical personality
