About Us

The University Advancement division plays a leading role in strengthening awareness of and support for the University’s mission and goals by leading alumni relations and fundraising efforts across campus and beyond. All departments within the Division build enduring alumni and public trust through understanding and support for Western University in a coordinated campus-wide effort that results in the engagement and funding needed to make an impact. There are 3 departments within the Division – Departments of Development, Alumni Relations and Advancement Operations.

The Advancement Operations department is a partner in the University Advancement division in the areas of constituent database and technology services, prospect management and pipeline, prospect research, data analytics and data storytelling, gift and pledge management, records and document management, and financial reconciliation and reporting. In addition, we provide support to the annual planning process as well as budget management, human resources, employee engagement and facilities support for University Advancement.





Responsibilities

As part of the Finance team, the Financial Assistant is responsible for the overall processing of donations to Western University as well as creating and recording associated biographic changes for all constituents using the BBCRM database. This position reports to the Manager, Alumni & Gift Services and provides assistance in supporting the fundraising and engagement strategies of the University Advancement Portfolio.

Qualifications

Education:

- 2 year Community College Diploma
- 2 year Community College Diploma in Business Administration preferred

Experience:

- Two years’ experience working in a high volume data processing environment
- Experience with cash/donation handling
- Experience in a fundraising environment with a good understanding of philanthropy and constituent engagement preferred
- Experience with Blackbaud products, Adobe products, and Laserfiche preferred

Knowledge, Skills & Abilities:

- Excellent data entry skills with high level of accuracy and the proven ability to meet frequent deadlines
- Demonstrated general accounting skills
- Self-motivated multi-tasker with strong organizational skills
- Ability to take initiative and work collaboratively in a team environment with academic and administrative staff, alumni, students and volunteers




- Excellent verbal and written communication skills and the confidence dealing with all levels of an organization
- Strong customer service skills to handle enquiries and resolve issues in a professional and timely manner
- Demonstrated ability to work well under pressure and ability to prioritize work
- Intermediate computer skills in Microsoft Office Excel, Word and other Microsoft suite products, as well as database management (Blackbaud product skills an asset)
- Proven ability and natural inclination to interact with people in a professional, respectful and diplomatic manner
- Ability to work with social media sites such as LinkedIn, Facebook and Twitter to facilitate the search for out-of-date constituents’ information
