The St. Marys Golf & Country Club is seeking an Event Experience Specialist to own our event sales pipeline and client planning journey across our four brands, including St. Marys Golf & Country Club, St. Marys Weddings, the Penrose Suites, and Social Thirty-One restaurant.

Position Overview
The Event Experience Specialist owns the event sales pipeline and the client planning journey from initial inquiry to final post-event debrief. This position drives revenue growth by converting prospects into clients across our core offerings, including weddings, stay & plays, golf tournaments, and other special events, while ensuring a seamless transition to the Operations team for flawless execution.
Employment: Full-Time, Temporary 15-month Contract (maternity leave)
Contract Dates: September 27, 2026 - December 31, 2027

Working schedule: Full-Time, based on the needs of the organization and client availability, which includes weekdays, evenings and weekends.
Accountability Chart (The 5 Major Responsibilities)
- Lead Conversion & Pipeline Management
- Own the sales pipeline by managing leads, conducting venue tours, and leading consultations (weekdays, evenings, and weekends).
- Create tailored quotes, negotiate terms, and secure signed contracts to meet or exceed revenue targets.
- Revenue Optimization & Upselling
- Maximize the value of every contract through strategic upselling and cross-selling (e.g.,
menu upgrades, dining reservations, rehearsal dinners, accommodations).
- Client Relationship Ownership & Event Planning
- Serve as the single, dedicated point of contact for clients, providing guidance, building trust, and coordinating wedding/event planning and design meetings.
- Develop complete event plans, timelines, accurate invoices, and required documentation.
- Cross-Functional Operations Hand-off
- Bridge the gap between sales and execution by delivering clear, detailed event paperwork to the Operations teams.
- Maintain open communication with external vendors and participate in post-event debriefs to continuously improve execution.
- Community & Market Representation
- Represent the venue at trade shows, networking functions, and industry events to build referrals and brand awareness.
- Monitor competitor offerings and industry trends to keep our packages competitive.
Essential Job Functions & Day-to-Day Realities
- Conduct venue tours, client consultations, and planning meetings, including regular evening and weekend availability based on client needs and event schedules.
- Build solid client relationships while serving as the primary point of contact throughout the sales and event planning process.
- Prepare and maintain accurate contracts, event documentation, timelines, invoices, and planning materials.
- Collaborate closely with internal departments and external vendors to ensure seamless communication and event execution.
- Represent the organization at trade shows, networking events, open houses, and other promotional activities.
Scorecard & Measurables (How Success Is Tracked)
- Revenue Growth:
Increase in sales revenue over time compared to targets and previous periods.
- Lead Generation Metrics: Number of leads generated, lead quality, and conversion rates from leads to opportunities.
- Sales Conversion Rates: Percentage of leads or prospects that convert into paying customers.
- Client Satisfaction and Retention: Metrics such as client satisfaction surveys and client retention rates.
- Invoicing Accuracy: Ensuring timely, accurate invoices with no discrepancies between services provided and billed amounts.
Role Requirements
- Completion of post-secondary education, ideally in Hospitality, Event Management, or Business.
- A minimum of 2 years of proven experience in sales or event management.
- Smart Serve Certification, or the ability and willingness to obtain certification upon hire.
- Strong interpersonal and negotiation skills and a track record of meeting or exceeding sales targets.
- Proficiency with CRM platforms, sales pipeline software, and Microsoft Office/Google Workspace.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Strong problem-solving skills.
- Genuine passion for sales, client service and the drive to hunt for targets and create memorable experiences.
- Ability to understand the fast-paced nature of event sales, the psychology of hospitality clients, and how detailed planning impacts back-of-house operations.
- Ability to balance multiple events and clients simultaneously while managing competing priorities, changing deadlines, and frequent interruptions in a fast-paced hospitality environment.
- Ability to act with integrity, professionalism, and confidentiality.
- Ability to work schedule based on the needs of the organization and client availability, which includes weekdays, evenings, and weekends.
