The Role: We are looking for an Event & Tour Administrator to work behind the scenes, focusing on the necessary day-to-day administrative duties that will support the operation with our tour and event business.
You will be responsible for responding to and qualifying all incoming leads through various channels and assigning them to the appropriate Sales or Event Manager for follow-up.
You will be instrumental in setting other departments up for success by collecting, arranging, and coordinating details for incoming group arrivals via the Tour Summary Report, and through attending daily operations and BEO meetings.
You will be responsible for building accurate & detailed tour blocks, drafting thorough contracts, overseeing the scheduling of prepayment, arrangement of group meals and creation of detailed Banquet Event Orders (BEOs), assisting Front Office in the arrival experience of inbound groups, preparing detailed group agendas.
Job duties: Collaborating with the Director of Events and Director of Group Sales to create Assist Event Managers by performing administrative duties to ensure seamless execution and delivery of events.
Assist with the preparation of client proposals and contracts, formatting menus & name cards and arranging amenities.
Act as the on-property liaison for Tour contacts and will work closely with the banquets team to ensure seamless delivery for our in-house groups.
Data entry, Analysis and Reporting as required.
Be a champion of the Hotels proactive sales efforts while making business decisions that are focused on upholding the highest standards in guest service, while delivering against key financial goals and performance metrics.

Have a working knowledge of OPERA, CI/TY, Excel, Word and e-mail.
Have previous customer and/or administrative experience service.
Have a minimum of 2 years of experience in hospitality.
Completion of Post Secondary education in Hospitality or Sales is an asset.
Working Conditions: As the Event & Tour Administrator you will spend most of the time working business hours Monday to Friday (8:30 5:00pm).
Able to work flexible hours, including early mornings, evenings, weekends, holidays, and extended shifts based on operational or met deadlines.
This role is based on property in Kananaskis, and some travel may be required.
This position is set in a fast-paced environment, with high levels of interaction with both internal and external stakeholders.
Physical Demand: Ability to respond quickly to changing priorities and maintain physical stamina during busy events or peak operational periods.
Frequent walking throughout the resort, event venues, meeting spaces, and outdoor areas.
Ability to transport event materials, signage, promotional displays, and equipment using carts or other equipment as required.
Multitasking and working under pressure in a fast-paced environment.
Visual demands include, extended screen time and reading detailed information accurately.
