Job Title: Logistics Coordinator – Customer Service Representative

Reports to: CSR Team Lead

Position Summary

Processes customer orders and prepares all documentation required to export products in compliance with federal, state, local, or country-specific regulations. Responds to customer inquiries by telephone or e-mail to provide problem resolution. Analyzes customer ordering trends and service needs for follow-up as needed. Use customer portals or databases to record activities and research product information based on customer requirements.

Key Responsibilities:

- Process and manage customer orders from receipt through fulfillment, ensuring accurate and timely entry into the ERP system.
- Serve as the primary point of contact for customers regarding order status, product availability, shipment schedules, and inventory inquiries.
- Proactively communicate order discrepancies,



inventory shortages, shipment delays, or other fulfillment issues to customers and internal stakeholders.
- Coordinate order fulfillment activities, including shipment, pickup scheduling, and delivery arrangements using approved partner carriers to meet customer requirements.
- Prepares shipping documentation – pick lists, bill of lading, customs invoices, and any other required certificates/documents as per government and customer requirements.
- Collaborate with Quality Assurance (QA) and regulatory teams to obtain and prepare required certifications and compliance documentation, such as phytosanitary certificates, Annex A9 documents,
- Manage CHEP pallet transactions and inventory records, including reconciliation and updates within the CHEP portal.
- Track and monitor border clearance status of shipment, advise customers of any holds if they occur.
- Maintain accurate customer, order, shipment, and inventory records to support order management and revenue recognition processes.
- Identify and implement process improvements to enhance order accuracy, operational efficiency, customer satisfaction, and overall Order-to-Cash performance.




- Coordinate courier shipments through FedEx and other parcel carriers, ensuring proper documentation, tracking, and delivery follow-up.
- Support front-office logistics activities by receiving deliveries, distributing packages, and coordinating visitor arrivals as required.

QUALIFICATIONS:

- 2+ years’ proven working experience in Customer Sales, Order management, or in a related position.
- Proficiency in MS Suite – Advance Knowledge in Excel is an asset.
- Experience with ERP systems.
- Experience with MS Power BI is an asset.
- Manufacturing experience is an asset.
- Customs documentation is an asset.
