Canadian General Filters has been designing and manufacturing high-quality residential Indoor Air Quality (IAQ) products for trade professionals since 1937. Our products are distributed through HVAC, refrigeration, and plumbing wholesalers across Canada.

We are seeking an organized and proactive Customer Service / Inside Sales Coordinator to act as the operational hub between customers, sales representatives, and internal departments. This role is ideal for someone with experience in manufacturing or industrial distribution who enjoys solving problems, coordinating orders, and supporting a national sales team.

Position Overview

This position plays a key role in delivering excellent customer service while supporting our sales team and ensuring orders are processed accurately and efficiently.

You will interact daily with customers, contractors, sales representatives, and internal departments, ensuring smooth communication and timely fulfillment of orders.

This is a fast-paced role where priorities may shift throughout the day, requiring solid organization and attention to detail.

Key Responsibilities

Order Management

- Process customer orders received by email, webforms, and EDI
- Verify pricing, discounts, terms, and product numbers
- Enter orders into the company ERP system
- Coordinate with warehouse and operations to ensure timely shipment
- Communicate delivery updates or delays to customers
- Manage backorders
- Complete invoicing

Customer Service

- Handle incoming customer inquiries and provide product and pricing information
- Resolve customer issues or escalate when required
- Coordinate with technical support to ensure timely resolution of product questions

Sales Support

- Provide administrative and operational support to sales representatives and agents across Canada
- Assist with customer communications regarding promotions, product launches, and booking programs




- Serve as the primary point of contact when sales representatives are unavailable

Coordination & Reporting

- Work closely with operations and warehouse teams to maintain the company’s 48-hour order turnaround objective
- Track daily sales shipments and provide reports to management
- Assist with managing contract pricing and promotional programs

Qualifications

- Minimum 5 years of customer service or order desk experience in a manufacturing, HVAC, plumbing, or industrial distribution environment
- Strong written and verbal communication skills
- Highly organized with strong attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Experience with ERP systems (order entry, order tracking, reporting)
- Strong Microsoft Office skills, particularly Excel
- Strong problem-solving and critical thinking ability
- Post-secondary education in Business Administration or a related field is considered an asset
