Administrative Assistant, Faculty PD Committee
Position Summary The Administrative Assistant, Faculty Professional Development provides program and administrative support to the Faculty Professional Development Committee(s) of Red Deer Polytechnic (RDP) which was established to facilitate and promote the professional development (PD) of faculty at RDP through administration of their respective Professional Development Funds as designated by the Collective Agreement.
This is a Full-Time, 1.0 FTE permanent position supporting the Faculty Professional Development Committee.
Position Responsibilities
Program Support
- Provide support to the Faculty PD Committee while maintaining confidentiality, accuracy, tact and respect at all times
- Responsible for daily operations
- Organize and prepare for new academic year (prepare meeting schedule, update committee and email distribution lists and internal phone directory)
- Keep up to date with program developments and changing priorities
- Support in the collection and tracking of PD applications, expenses, and statistics for approval by committee, including validating employee and activity eligibility
- Initiate and prepare both confidential and general correspondence on behalf of the Chairperson and the Committee
- Provide support for action items from meetings including follow up
- Coordinate special funding Extended Funding Grant intakes/deadlines (5 plus intakes/year)
- Pre-screen applications with PD consultants; provide applications and rubric for review
- Coordinate presentation of recommendations; prepare award letters and track results
- Provide support for logistics of annual Sabbatical application process
- Prepare annual and year end budget reports, in collaboration with chairperson
- Support Hiring Manager during recruitment process, onboarding, and performance evaluation
- Assist with event planning by providing planning guide, contracts, adhering to policy
- Coordinate annual signing compliance process
- Develop and maintain a detailed operations manual for tasks and duties of position
- Maintain knowledge of Article 14 of the Faculty Collective Agreement
- Perform other related duties as assigned by the Chairperson
Administrative Support
- Provide support in scheduling meetings, including contacting participants, booking room, ordering catering, and arranging parking as required
- Ensure room is prepared with layout and technology as required
- Attend meetings, take minutes, and provide support as needed
- Prepare (and in final consultation with the Chair) and disseminate meeting agendas and minutes
- Maintain an inventory of stationery and office supplies and ensure supplies are available through RDP’s approved vendor
- Maintain a comprehensive filing system in accordance with the RDP records management and FOIP principles and ensures records are managed and archived
- Direct Faculty and staff to appropriate resources on the RDP website, MyRDP, or other resources as needed
- Maintain the Faculty PD email inbox
- Respond to phone, email and in person inquires – providing general information and referring enquiries to appropriate sources using a broad knowledge of the institution’s priorities, procedures, protocols, and personnel
- Ensure a safe and healthy work environment by complying with institutional health and safety policies, standard practices, and programs in keeping with occupational health and safety legislation and regulations
Communications and Technology Support
- Manage internal website for PD committee
- Assist with maintaining the PD channel on MyRDP, external PD website, and electronic Extended Funding Grant application system
- Manage the PD Committee Google Drive and documents
- Maintain familiarity with technologies for meetings onsite and online (Microsoft Teams) and for Hy flex scenarios
Required Qualifications
- 1-year college certificate, one year University or equivalent.
- 2-3 years of related experience
Preferred Qualifications
- Effective communication and interpersonal skills
- Impartiality, fairness and the ability to respect confidences
- Effective time-management and organizational skills
- Office-management / technical proficiency required for the job
- Demonstrated attention to detail including taking meeting minutes
- Ability to work independently and as a member of a team
- Demonstrated excellence in Microsoft Office, including Teams, Outlook and SharePoint
- Excellent written and verbal communication skills with strong interpersonal skills
- Current knowledge and understanding of administrative processes used in operation of a large organization and the ability to apply that knowledge
- Experience using Banner, Cognos, or complex databases would be an asset
- Working knowledge of Google suite, records management
- Familiarity with Roberts rules of Order, parliamentary procedure would be an asset
- On the job training will be provided for Content editing for RDP Connect, room bookings, and other in-house products
