Overview of the Role The homebuying journey is one of the most meaningful experiences a family can go through and our client’s Design Centre is where that journey comes to life. As the Design Centre Coordinator, you’ll be the welcoming first face homeowners meet and the steady hand behind the scenes that keeps every appointment, file and detail running seamlessly. This is a role for someone who finds equal satisfaction in creating a warm, polished client experience and in the organizational precision that makes it possible.
What You’ll Be Doing
Master the Calendar: Own the design appointment schedule, partnering with Consultants to accommodate urgent requests and time-sensitive deadlines without breaking a sweat.
The Homeowner Welcome: Be the face of the customer experience, welcoming visitors, conducting tours of features and upgrades, and ensuring every homeowner feels prioritized from the moment they walk in.
File & Data Integrity: Maintain complete homeowner files (contracts, drawings, price lists) and ensure all selection documentation is processed and distributed to the right departments on time.
Operational Support: Support sample material management and inventory, track deposit payments, and keep the Design Centre polished and client ready at all times.
Proactive Communication: Send appointment reminders, handle pre-appointment inquiries, and follow up on outstanding items to keep projects moving forward.
Team Collaboration: Liaise with the Open House and Design teams to align on policies, scheduling and quick resolution of any hiccups.
You’ll Thrive Here If
You have a Refining Eye: You catch the small details in a contract or a schedule that others might miss. You take pride in your work being accurate and organized.
You’re a Communication Pro: You can handle a high energy environment with a calm, polished and welcoming demeanor, whether you’re on the phone or in person.
You Love the Puzzle of Scheduling: You enjoy the challenge of managing multiple priorities and can pivot quickly when deadlines shift or urgent needs arise.
You’re Solutions Oriented: When a conflict or a sensitive issue pops up, you don’t just flag it, you look for the fix. You’re comfortable de-escalating situations and handling them with discretion. What We’re Looking For
Post-secondary administrative diploma or certificate, or a minimum of 2 years of customer service or administrative experience.
Experience working with the public in a sales and/or customer service environment.
Professional, warm, and white glove customer service approach.
Proficiency with Microsoft Office (Work, Excel, PowerPoint and Outlook).
Bonus Points: If you have an Interior Design or Decorating background, experience in new home construction and have used Constellation Newstar homebuilding software before.
Work Environment & Schedule
Monday to Friday, 8:30 am – 5:00 pm, on-site at our client’s Design Centre/Head Office in Burlington,
Ontario.
Occasional evening or weekend availability may be required for special events and model home openings.
Construction site visits may be required during active build periods and personal protective equipment will be provided.
